Job Summary

The Program Coordinator provides programmatic, operational, and administrative support for children's and family initiatives across the Bronfman Center, with approximately 70% of the role dedicated to Shababa and 30% supporting broader Jewish Family Life programming.

As a core member of the Shababa team, the Program Coordinator helps deliver joyful, music-centered Jewish experiences that foster community, deepen family engagement, and create welcoming entry points into Jewish life for families with young children. This role also supports holiday celebrations, ATiD – 92NY's Hebrew School, family engagement initiatives, and other children's programming that advances the Bronfman Center's mission.

This position requires an energetic, highly organized professional who enjoys working with children and families, thrives in a fast-paced environment, and is equally comfortable managing logistics, supporting musical programming, coordinating events, creating engaging content, and providing exceptional patron service.

Job Responsibilities Include

Shababa Programming & Event Operations

  • Provide operational on-site support for Shababa programs and special events, ensuring welcoming, engaging, and well-organized experiences for children and their caregivers.
  • Coordinate event logistics, including room setups, supplies, activities, program materials, musical equipment, and program execution.
  • Greet families, oversee event check-in, serve as a primary point of contact, and exercise good judgement in anticipating program needs, troubleshooting logistical challenges, and ensuring smooth execution of concurrent programs.
  • Set up and break down program spaces, musical equipment, crafts, and event materials.
  • Support year-round Shababa programming, including weekly, holiday, seasonal, and special events, and coordinate follow-up to continuously improve the patron experience.

Children's & Family Programming

  • Support the planning, coordination, and execution of Jewish Family Life programs, including holiday celebrations, family engagement initiatives, ATiD – 92NY's Hebrew School, new children's programming, and community service initiatives.
  • Coordinate program logistics, participant communications, registration, supplies, and materials while partnering with program directors to ensure consistent, high-quality experiences.
  • Assist with developing program activities, collecting participant feedback and program data, and supporting new initiatives and continuous improvement.

Program Administration & Communications

  • Manage registrations, attendance tracking, patron inquiries, and provide exceptional customer service
  • Maintain organized program files, inventories, supplies, musical resources, and digital media assets.
  • Coordinate with internal departments, musicians, vendors, artists, and external partners, and assist with communications, promotional materials, calendars, participant materials, and Shababa social media content.

Music and Production Support

  • Maintain and organize sheet music, set lists, rehearsal recordings, cue sheets, and other musical resources.
  • Prepare and distribute musical materials and production information to musicians, stage managers, and production staff.
  • Support the musical and production needs of Shababa rehearsals, performances, and special events.
  • Perform other related duties as assigned.
Experience, Education, & Skills Desired
  • Experience working in children's programming, family engagement, Jewish communal organizations, schools, camps, or arts-based educational settings preferred.
  • Excellent interpersonal skills with the ability to build positive relationships with children, families, caregivers, artists, musicians, volunteers, and colleagues.
  • Must enjoy engaging with young children and be comfortable participating in a playful, energetic, and interactive environment.
  • Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously.
  • Demonstrated initiative, sound judgment, and problem-solving skills, with the ability to anticipate needs and work independently in a fast-paced environment.
  • Familiarity with Jewish holidays, traditions, culture, and/or Hebrew language preferred.
  • Strong written communication skills and experience preparing communications and promotional materials.
  • Proficiency with Microsoft Office, Zoom, Canva, Instagram, Facebook, and basic audio and video editing tools.
  • Comfort supporting hands-on creative programming, including crafts, experiential learning activities, music, and theatrical presentations.
  • Demonstrated ability to manage projects from planning through successful execution.
  • Ability to perform the physical requirements of the position, including setting up and breaking down events and lifting and transporting supplies, sound equipment, and program materials.
Work Environment & Requirements

September through May, Tuesday – Saturday with the following work hours:

Tuesday-Thursday 9:00am–6:00 pm, Friday 7:00am–4:00pm; and Saturday, 6:30am–3:30pm, with a one-hour unpaid lunch break.

June through August, Monday – Friday with the following work hours:

9:00am–6:00 pm, with a one-hour unpaid lunch break..

This position requires availability to work on Jewish holidays, occasional evenings, and additional weekend hours as required by the program calendar.

Compensation Range

$45,000 - $55,000

The actual compensation offered will be based on a number of factors including, but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
