Job summary

UT Southwestern Medical Center in Dallas seeks a Program Coordinator to support the Vice Provost for Faculty Affairs and Career Development. Working with minimal supervision, you will manage key programs and projects, exercising judgment to ensure smooth execution of priorities.

This role requires excellent organization, strong written and verbal communication, and the ability to collaborate with diverse stakeholders. You will leverage AI tools to enhance efficiency and program execution.

Qualifications

  • Bachelor's degree in Business Administration, Health Care Administration, Education/Social Science, or related field.
  • 5 years of experience in the appropriate field, or more years in lieu of education.
  • Strong project coordination and stakeholder management skills.

Responsibilities

  • Provides high-level project coordination to the Vice Provost for Faculty Affairs and Career Development, managing communications, reviewing and summarizing correspondence, identifying required actions, and coordinating follow-up.
  • Plans, coordinates, and supports meetings led by the Vice Provost, including but not limited to Faculty Affairs, Development, and Wellness leadership meetings and sessions for ongoing projects; develops and circulates meeting agendas in advance, ensures accurate minutes, tracks action items, and supports timely follow-up.
  • Works with team members in the Offices of Faculty Affairs, Faculty Development, and Faculty Wellness & Engagement to pull data, generate graphics and write reports.
  • Collects and organizes data for surveys, serving as a central coordination point between leadership and internal teams.
  • Responds to ad hoc operations requests, including software and license inquiries, accessibility questions, and general information requests from faculty and staff.
  • Serves as interim executive-level administrative support as needed, including calendar management, meeting scheduling, preparation of correspondence on official letterhead, routing for approvals or signature, and processing expense reports.

JOB SUMMARY

This job works under minimal supervision to direct operation of program or project, exercising independent judgment and authority as required.

The Program Coordinator will provide comprehensive support to the Vice Provost and Senior Associate Dean for Faculty Affairs and Career Development. Operating with minimal supervision, the Program Coordinator will manage key programs and projects, exercising independent judgment, discretion, and authority to ensure the seamless execution of operational priorities. The successful candidate will demonstrate exceptional organizational and project management skills, strong written and verbal communication, and the ability to collaborate effectively with diverse stakeholders. The role requires a proactive, highly organized professional who can leverage AI tools and emerging technologies to enhance efficiency, problem-solving, and program execution.

HYBRID - 3 DAYS A WEEK IN OFFICE

TASKS:

EXPERIENCE AND EDUCATION
Required
  • Education Bachelor's Degree In Business Administration, Health Care Administration, Education/Social Science, or related field
  • Experience 5 years Experience in appropriate field or
    May consider additional years of experience in lieu of education.
JOB DUTIES
  • Analyzes, coordinates, and evaluates program operation and procedures.
  • Develops or oversees development of budget for program.
  • Develops, cultivates, and maintains working relationships with internal/external departments/agencies and other organizations associated with and/or receiving benefit from program.
  • Establishes program goals and objectives and directs program evaluation and quality control activities; develops and/or approves schedules, priorities, and standards for achieving goals.
  • Plans and coordinates special events. Participates in conferences. Presents data and program information.
  • Responsible for design, execution, and effectiveness of system of internal controls, which provides reasonable assurance that operations are effective and efficient, assets are safeguarded, and financial information is reliable.
  • Ensures compliance with applicable laws, regulations, policies, and procedures.
  • Reads literature and attends functions to keep abreast of relevant scientific and technical developments related to program.
  • May provide supervision to staff members.
  • Performs other duties as assigned.
