Overview

Program Coordinator I – Executive & Strategic Operations (260004Z6) – Division of Banks, Operations Unit.

The Division of Banks is currently accepting applications for the Program Coordinator I – Executive & Strategic Operations position in the Division’s Operations Unit. This is a unique opportunity for someone who enjoys solving problems, improving processes, and collaborating across the organization to support a wide range of initiatives. Working closely with agency leadership, this role coordinates projects, supports executive operations, manages the Division’s website, intranet, and digital resources, and monitors emerging developments in the rapidly evolving financial services industry.

As a central coordination point for operational and technology initiatives, the position partners with internal teams and Commonwealth agencies to improve processes, support organizational priorities, and help turn ideas into action. Successful candidates will enjoy learning new technologies, connecting people and projects, and gaining broad exposure to executive operations, digital communications, and financial services regulation.

Responsibilities
  • Support agency leadership by coordinating executive priorities and special projects, and by researching emerging issues and trends impacting the financial services industries.
  • Coordinate cross‑functional projects and operational initiatives by facilitating communication, tracking progress, improving processes, and helping ensure organizational goals are achieved.
  • Manage the Division’s website and digital resources by maintaining the agency website and intranet, coordinating content updates, and ensuring information is accurate, accessible, and user‑friendly.
  • Support technology and continuous improvement initiatives by collaborating on data and reporting efforts, coordinating IT and accessibility requests, and contributing to operational planning and process improvements.

Primary Duties
  • Partner with and support the Commissioner and agency leadership; coordinating executive priorities, meetings, and operational activities.
  • Research, monitor, and summarize emerging issues, industry trends, and developments affecting the Division’s regulated financial services sectors to provide timely information and insights to agency leadership.
  • Coordinate cross‑functional projects and agency initiatives by bringing together stakeholders, tracking milestones and action items, documenting progress, and helping ensure projects move forward successfully.
  • Identify opportunities to improve operations by helping identify and implement process improvements, technologies, and tools, while contributing to business continuity planning, risk assessments, internal controls, and other continuous improvement initiatives.
  • Manage the Division’s website and intranet by coordinating content updates, ensuring information is accurate, accessible, and user‑friendly, and partnering with Commonwealth resources to resolve technical issues and enhance digital services.
  • Serve as the agency’s liaison for digital accessibility and technology coordination, working with Commonwealth partners and internal staff to address accessibility needs, coordinate technology‑related requests, and support digital initiatives.
  • Support data, reporting, and information management efforts by assisting with reporting, data governance, records management, and operational documentation.
  • Coordinate the development and maintenance of operational procedures, guidance documents, and project documentation to support consistent agency operations.
  • Monitor project activities and operational processes, evaluate progress, and recommend improvements to management.
  • Provide operational support across the Division, including assistance with special projects, agency‑wide initiatives, and occasional support for the Operations and Legal Units as needed.
Preferred Qualifications
  • Experience coordinating projects and managing multiple priorities while communicating effectively with a variety of stakeholders.
  • Strong written and verbal communication skills, including the ability to research and synthesize information, prepare executive briefings, and exercise sound judgment when managing communications directed to agency leadership.
  • Experience with, or the ability to quickly learn, website content management systems (preferably Drupal) and website quality and accessibility tools such as SiteImprove.
  • Strong organizational skills, attention to detail, and the ability to maintain accurate content, records, and documentation.
  • Demonstrated initiative, sound judgment, and a commitment to improving processes and identifying practical solutions.
  • Ability to build collaborative relationships, provide excellent customer service, and work effectively across diverse teams.

Work/Life Balance & Benefits
  • Hybrid Position: This is a hybrid position offering remote work flexibility; staff are expected to be on‑site at a Division office at least once per pay period (every two weeks). Additional in‑person attendance may be required based on project activities, operational, and training needs. Occasional travel to other Division offices throughout the Commonwealth and out‑of‑state travel may be required.
  • Flexible Schedule: Staff may choose from flexible start and end times, and are eligible for a compressed work schedule that includes every other Friday off.

Salary

66,890.20 – 96,266.04 Yearly (salary placement determined by years of experience and education directly related to the position and the Human Resources Division’s recruiting guidelines).

Minimum Entrance Requirements

Applicants must have at least (A) two years of full‑time, or equivalent part‑time, professional, administrative, or managerial experience in business administration, business management, or public administration with major duties involving program management, program administration, program coordination, program planning, and/or program analysis; or (B) any equivalent combination of required experience and the substitutions below.

Substitutions:

  • I. A Bachelor’s or higher degree with a major in business administration, business management, or public administration may be substituted for the required experience.
  • II. A Bachelor’s or higher degree with a major other than the above may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
