Responsibilities

  • Post employment opportunities on job boards and recruitment platforms.

  • Coordinate interviews and prepare interview materials.
  • Conduct reference checks and assist with hiring decisions.
  • Facilitate onboarding and ensure new hire documentation is complete.
  • Maintain and protect personnel records and confidential information.
  • Assist with reviewing position descriptions for accuracy and alignment with duties.

Job Responsibilities

The Human Relations Coordinator performs professional-level human resources and employee relations work in support of departmental operations. This position serves as a liaison between the department and University Human Resources, ensuring compliance with employment procedures, maintaining personnel records, coordinating recruitment and onboarding activities, and supporting employee relations initiatives.

The coordinator works independently with minimal supervision while maintaining a high level of professionalism, confidentiality, accuracy, and customer service.

Minimum And Additional Requirements
Essential Duties and Responsibilities
Recruitment and Onboarding
  • Collaborate with the Senior Human Relations Generalist to support recruitment and selection activities.
  • Research and post-employment opportunities on appropriate job boards and recruitment platforms.
  • Screen applications and identify qualified candidates.
  • Coordinate interviews, schedule candidate meetings, and prepare interview materials.
  • Conduct reference checks and assist with hiring recommendations.
  • Facilitate onboarding activities and ensure completion of new hire documentation and checklists.
  • Serve as a primary point of contact for new employees during the onboarding process.
Human Resources Administration
  • Prepare and review employment documents for submission to University Human Resources.
  • Ensure personnel actions and employment records are accurate, complete, and compliant with institutional requirements.
  • Assist with reviewing position descriptions for accuracy, completeness, and alignment with job duties.
  • Maintain confidentiality of personnel records and sensitive employee information.
Records Management
  • Maintain electronic and physical personnel files.
  • Develop and maintain organized systems for human resources records management.
  • Ensure timely filing, tracking, and retrieval of employee documentation.
  • Support records retention and compliance requirements.
Employee Relations
  • Assist in the development and implementation of employee relations programs and initiatives.
  • Collect, maintain, and analyze data from surveys, studies, and special projects.
  • Support efforts to enhance employee engagement and foster a positive workplace culture.
  • Assist in addressing organizational concerns through open communication and collaborative problem solving.
Technology and Administrative Support
  • Utilize human resources systems and technology platforms to improve efficiency and service delivery.
  • Participate in professional development and technology training opportunities.
  • Learn and apply new software and technologies as needed to support departmental objectives.
  • Assist staff with planning, preparing, and delivering programs and initiatives.
Preferred Qualifications
Minimum Qualifications Required
  • Bachelor's degree.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Typing proficiency of at least 55 words per minute.
  • Ability to learn and utilize Microsoft Teams, SharePoint, OneDrive, and other business technologies.

Work Environment

Additional Comments
  • Stationary Position: Must be able to remain in a stationary position at an assigned office workstation for extended periods while reviewing financial records, building grant budgets, and verifying compliance documentation.
  • Data Processing & Technology: Constantly operates a computer, digital calculators, and specialized grant management database systems requiring precise motor coordination and data entry.
  • Information Audit: Must be able to detect, analyze, and interpret detailed financial charts, complex federal regulations, spreadsheets, and dense legal text.
  • Communication & Collaboration: Must be able to effectively exchange accurate financial and programmatic information face-to-face and digitally with principal investigators, funding agencies, and internal accounting teams.
  • Mobility & Facility Navigation: Must be able to move about inside the physical office environment daily to access shared files, office machinery, and attend internal research administration meetings.
  • Document Transport: Occasionally moves or positions batches of physical files, audits, or grant documentation folders weighing up to 15 pounds.
