Job summary

Commonwealth of Massachusetts is seeking a Civil Background Services Administrator in Chelsea. You will research and screen background check requests across SAFIS, iCORI and NCJA, ensuring accurate results and lawful classification of FBI CHRI and CORI records.

Responsibilities include handling inquiries via phone and email, training interns, and processing paper iCORI requests. Requires strong English communication, organizational skills, and proficiency with Microsoft Office.

Responsibilities

  • Research and processes civil background check requests in SAFIS, iCORI, and NCJA daily.
  • Review and screen criminal background requests for disposition type and offense type.
  • Conduct further research through databases to ensure accurate results.
  • Classify FBI CHRI and CORI records per applicable laws.
  • Screen FBI CHRI and CORI records daily and flag records needing additional research.
  • Answer Civil Background Services main line and email; assist with iCORI/SAFIS questions and firearms license inquiries.
  • Research and resolve end-user questions about iCORI and SAFIS; escalate as needed.
  • Process and disseminate paper iCORI requests.
  • Assist with training interns.
  • Perform related duties as required.

Job description

DUTIES AND RESPONSIBILITIES
  1. Research and processes civil background check requests received daily in various online candidate queues including SAFIS, iCORI, and NCJA.
  2. Review and screen criminal background requests prior to distribution in various queues and stages for disposition type, offense type, incarceration release dates and several Criminal Offender Record Information levels of access in accordance with the Massachusetts General Laws.
  3. Conduct further research through query of relevant databases and systems to ensure accurate results are being disseminated.
  4. Ensure FBI CHRI and CORI records are accurately classified and screened in accordance with applicable laws.
  5. Ensure FBI CHRI and CORI records are screened daily and records identified that may require additionalresearch.
  6. Responsible for answering Civil Background Services main line and email to assist callers with questions regarding iCORI or SAFIS related records, as well as answering the firearms license hotline to assist callers with name/address changes, retrieving PINs, and providing the status of firearms license applications.
  7. Researches and analyzes questions and/or issues reported from end users regarding issues encountered with the use of the iCORI and SAFIS and escalates issues accordingly.
  8. Processes and disseminates paper iCORI requests.
  9. Assist with the training of interns.
  10. Performs other related duties as required and directed.

MINIMUM ENTRANCE REQUIREMENTS

Applicants must have at least (A) two years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions
  • I. A Bachelor's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
  • II. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
