Job summary

The Mount Sinai Health System in New York is seeking a Program Coordinator I to provide administrative, operational and programmatic support to a research program within the Brookdale Department of Geriatrics and Palliative Medicine. You will help manage contracts, IRB protocols, budgets, travel and procurement, and assist with grant reporting.

You will liaise across departments, coordinate site visits, prepare materials, and help optimize program operations.

Qualifications

• Bachelor's Degree or an equivalent combination of education and/or experience may substitute for the degree when the experiences are closely related to the duties of the job.
• None required, but 1-2 years administrative experience preferred.

Responsibilities

• Establishing and managing data use agreements, consulting agreements, and other research related contracts
• Preparing, submitting, and maintaining Institutional Review Board (IRB) protocols, including amendments, continuing reviews, and study documentation
• Tracking publication output, and ensuring compliance with public access requirements
• Managing website and intranet pages
• Scheduling meetings and conferences, and organizing site visits
• Preparing presentation slides and other program materials
• Securing purchase orders, submitting invoices, ensuring their timely payment, and facilitating subject fee disbursements
• Preparing and submitting travel and reimbursement requests
• Requesting IT system access and equipment provisioning for program staff
• Facilitating secure data management for research studies by requesting protected folders and managing access
• Demonstrates continuous efforts to improve support operations and systems, to streamline work processes and to increase the effectiveness and efficiency of the program.
• Serve as liaison with personnel across departments and study sites to coordinate program activities, accomplish program objectives, and ensure resources are used effectively.
• Establishes tracking systems to monitor deliverables of grant-funded programs
• Coordinates and assists with the development of grant reports
• Perform other duties as needed
