Salary Range: Up to $51,300/Annualized,commensurate with education, experience, and qualifications.

Job Summary

The Program Coordinator coordinates the operation of programs orprojects, exercising independent judgment and authority asrequired. This position ensures programs run efficiently, meetgoals, and stay within budget. This role serves as theliaison between teams and stakeholders to achieve success andgrowth.

Core Responsibilities

  1. Coordinate institutional processes supporting facultynominations for national, international, professional society, andacademy honors, awards, fellowships, and memberships.
  2. Maintain and manage a comprehensive awards and honorificsdatabase, including eligibility criteria, nomination cycles,deadlines, sponsor requirements, outcomes, and faculty recognitionrecords.
  3. Develop and maintain annual nomination calendars andcommunicate upcoming opportunities to faculty, department chairs,associate deans, and research leadership.
  4. Coordinate the preparation and submission of nominationmaterials, including collecting supporting documents, draftingtimelines, tracking approvals, and ensuring compliance with sponsorrequirements
  5. Serve as the primary administrative liaison for the HonorificsCouncil, supporting meeting logistics, agenda development, recordsmanagement, and follow-up on action items
  6. Conduct research and environmental scanning to identifyprestigious awards, fellowships, academy memberships, andrecognition opportunities aligned with faculty expertise andinstitutional priorities
  7. Assist with faculty candidate identification and assessmentactivities by compiling data from internal and external sources,including faculty records, publication metrics, professionalsociety memberships, and benchmarking tools
  8. Support the cultivation and tracking of internal and externalnominators, references, reviewers, and sponsors for competitiveaward and academy nomination efforts
  9. Develop reports, dashboards, and briefing materials summarizingnomination activity, recognition outcomes, award pipelines,participation metrics, and progress toward institutional strategicgoals
  10. Coordinate faculty recognition events, mentoring activities,workshops, informational sessions, and communications promotingfaculty honors and awards opportunities
  11. Partner with Academic Affairs, Research and Innovation, FacultySuccess, college leadership, and external organizations to advanceinstitutional recognition and faculty distinction initiatives
  12. Maintain confidential information regarding faculty awardstrategies, nomination plans, academy candidacies, andinstitutional recognition initiatives
  13. Performs other duties as assigned.

Required Qualifications

  • High School Diploma, Vocational Training, or Apprenticeship ina related field.
  • Five (5) years of related work experience.
  • This position may require the ability to maintain the securityand integrity of UT San Antonio and its infrastructure per TexasEO-GA-48.
