The role reports to the Program Director, Artful Worship, and is primarily based on campus with a limited hybrid option after six months.

Responsibilities

  • Coordinate day-to-day operations of the Artful Worship grant.
  • Plan grant-sponsored programming, events, speakers, and logistics.
  • Maintain records, timelines, calendars, and systems.
  • Prepare grant reports in collaboration with the Project Director.
  • Support grant administration including budgeting and compliance.
  • Liaise with University offices, faculty, students, and partners.
  • Coordinate communications, newsletters, website content, and materials.
  • Coordinate project assessments and evaluation activities.
  • Travel as needed to partner sites and events.

Position Summary

The Program Coordinator-Artful Worship Grant provides full-time coordination and operational leadership for Artful Worship: Inspiring Children’s Faith Through the Catholic Imagination, a multi-year Lilly Endowment initiative exploring how literature, music, visual art, storytelling, and the creative imagination nurture children’s faith. The Program Coordinator-Artful Worship Grant reports to the Program Director, Artful Worship.

The position is primarily based on campus. A limited hybrid work arrangement may be available after six months of successful employment.

Description of Job Duties
  • Coordinate the day-to-day operations of the Artful Worship grant.
  • Coordinate grant-sponsored programming, events, guest speakers, consultants, and related logistics.
  • Maintain project records, timelines, calendars, and organizational systems.
  • Prepare annual, interim, and other required grant reports in collaboration with the Project Director.
  • Support grant administration, including budgeting, purchasing, contracts, reimbursements, financial tracking, and compliance.
  • Serve as the primary liaison among University offices, faculty, students, consultants, schools, parishes, and community partners.
  • Develop and coordinate project communications, including newsletters, website content, promotional materials, and stakeholder updates.
  • Coordinate project assessment activities, including surveys, evaluation data, and support for external evaluators.
  • Occasional travel to University, parish, school, and community partner sites, as well as conferences and other project-related events, to support grant programming and partnerships.
  • Supervise and mentor graduate and undergraduate student employees.
  • Perform other duties as assigned.

Required Education

Bachelor’s Degree.

Required Work Experience

Two (2) years of program/project coordination experience in a professional, academic, or nonprofit setting. Note that administrative support experience in a complex office environment will be considered in lieu of said experience.

Preferred Qualifications
  • Bachelor’s Degree in Education, Arts Administration, English, Communication, Music, Religious Studies, Ministry, or a related field.
  • Grants management experience in a higher education or arts/nonprofit setting.
  • Proficiency in Spanish.
  • Familiarity with Catholic ministries, children’s programming, or arts education.
  • Familiarity with Qualtrics or other survey and assessment platforms.
  • Proficiency in MS Teams.
  • Proficiency in Canva.
Required Certifications, Licenses or Registrations

Must have a valid driver’s license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW .

Work Hours
  • Typical Monday through Friday 8am to 5pm with extended hours as needed, especially in the planning and execution of events, to meet departmental goals.
  • Work hour flexibility during peak periods and events execution.
Physical Demands
  • Ability to lift up to 20lbs for table set-up/tear-down at events.
  • Ability to reach overhead, bend, squat to retrieve event materials.
  • Ability to push/pull equipment carts holding up to 60lbs.
  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus and event venues to actively engage faculty, staff, and potential/current students, and event attendees (including children) as well as attend meetings on and off campus.
