Job summary

Lutheran Community Services NW is seeking a bilingual program coordinator to support Refugees Northwest Foster Care. You will assist with intake, maintain case and health records, and coordinate invitations and licensing documents.

The role requires strong communication, organization, and multitasking in a multicultural setting, with experience in an administrative environment and a valid driver’s license.

Qualifications

  • Must have excellent communication in English and Spanish.
  • High school diploma or equivalent; 2 years of administrative experience; non-profit setting preferred.
  • Proficient with Windows and Microsoft Office; able to learn new systems as needed.
  • Standard background check including national sex offender registry; valid driver’s license and auto insurance.

Responsibilities

  • Assist with completing new client arrival documentation and intake packets.
  • Maintain case records, track court documents, and redact information as needed.
  • Request and file health records and update medical information.
  • Send invitations to program events and track RSVPs.
  • Maintain foster parent licensing files and reminders.
  • Provide logistical and event support for trainings and outreach.

HOW YOU WILL MAKE AN IMPACT:

All LCSNW team members will contribute to our mission of partnering with individuals, families and communities for health, justice and hope. The bilingual (English/Spanish) Program coordinator provides administrative and program support for Refugees Northwest Foster Care.

  • Assistwith completing new client arrival documentation, including preparing intake packets, updating electronic case records, and ensuring thatrequiredforms of identification are obtained.
  • Maintain records for dependency court, including tracking and filing all court documents, recording hearing dates, and gathering requested documents and redacting information as needed.
  • Request and file health records and update electronic case records withrequiredmedical, dental, mental health, and immunization information for clients.
  • Assistin sending and documenting invitations to program events, and tracking/replying to RSVPs.
  • Assistinmaintainingfoster parent licensing files by sending reminder emails and filing licensing documents.
  • Track and respond to program inquiries.
  • Order, pick up, and deliver food for monthly in-persontraining.
  • Provide logistical andevent supportfor monthly in-persontrainingand other program events.
  • Support foster parent and host home recruitment efforts through distributing outreach materials andparticipatingatand/or providing logistical support for outreach events.
  • Provide occasionalcoverage,transporting youth to medical and other appointments andassistingthem if needed.
  • Demonstrate awareness and sensitivity in the delivery of client services as it relates to the cultural and socioeconomic characteristics of populations served by the program.
  • Perform all job functionsin accordance withLCSNW’s agency and program specific personnel and administrative policies and procedures including strict adherence to HIPAA standards to ensure confidentiality for clients.

  • High school diploma/equivalent plus two years of experience in an administrative role OR associate degree or higher required. Experience working in a non-profit and/or social service setting preferred.
  • Must have excellent communication skills with the demonstrated ability to read, write, and speak English and Spanish; ability to read, write, and understand directions; ability to write basic correspondence; and ability to effectively present information and respond to questions from employees, clients, and the public.
  • Computer and office equipment skillsare essential, including the ability to use Windows and the Microsoft Office Suite, and learn new systems as the need arises.
  • Standard LCSNW criminal clearance, including national sex offender. Motor vehicle records, valid driver’slicenseand auto insurance arerequired.
