Covenant Pharmacy Calgary is looking for a highly motivated Program Assistant to become a key part of our team. As the Program Assistant at Covenant Pharmacy Calgary, you will provide comprehensive support to our Pharmacy staff and management team. In this role, you will maintain a high level of professionalism, confidentiality, and tact while assisting with a variety of administrative tasks in a dynamic and fast-paced environment. Your ability to adapt to change, prioritize multiple tasks, and work under pressure to meet tight deadlines will be essential to your success in this position.Key responsibilities include preparing departmental correspondence, reports, presentations, and other documents using word processing software, spreadsheets, and databases. You will also handle timekeeping duties for pharmacy staff, troubleshoot payroll concerns, and ensure accurate processing of invoices and purchase orders. Additionally, you will manage inventory and procurement of office supplies, printed forms, and other necessary materials, as well as coordinate equipment servicing when needed.As part of your organizational duties, you will be responsible for filing hard copy and electronic documents, ensuring that they are easily retrievable and in compliance with retention and destruction protocols. You will also manage incoming and outgoing mail and shipments, arrange meetings, and schedule appointments, including coordinating room bookings, audiovisual needs, and catering requests. Assisting the Pharmacy Manager with scheduling and generating financial and statistical reports will also be part of your daily tasks.This role requires strong attention to detail and the ability to handle multiple priorities simultaneously. Grade 12 diploma or recognized equivalent.Completion of a post-secondary diploma in office/business/medical administration, preferably with a focus in health care.A combination of education and experience will be considered.
Minimum of three (3) years related administrative experience.Proficient in Microsoft Office (Word, Excel, PowerPoint).Ability to work collaboratively with internal and external partners.Excellent customer service orientation and strong ability to develop partnerships.Proven critical thinking and problem-solving abilities.Proven ability to balance multiple projects and diverse workload.Excellent written, verbal, presentation skills and interpersonal relationship skills required.
