Job summary

The Ohio Department of Children and Youth is seeking a Program Administrator 2 to provide high-level administrative and coordination support to the CIO in Columbus. The role requires strong organization, discretion with sensitive information, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Serve as a trusted extension of the CIO, handling complex administrative duties and often acting on their behalf.
  • Manage scheduling, meeting logistics, preparation of briefings, presentations, and support materials for leadership discussions.
  • Work with sensitive or confidential information and maintain the highest standards of discretion.
  • Support contract management activities, including drafting and reviewing statements of work, monitoring contract lifecycles, coordinating approvals, and ensuring compliance with internal policies.
  • Engage directly with vendors, serving as a point of contact for relationship management, documentation needs, and resolving issues.
  • Track contract deliverables, vendor SLAs, and timelines to ensure obligations are met.
  • Assist with IT budget planning and financial tracking, such as monitoring expenditures, processing invoices, reconciling charges, and maintaining accurate financial records.
  • Coordinate information and follow ups across departments to support IT initiatives and leadership decision making.
  • Track deadlines and manage special projects, ensuring timely and accurate completion.
  • Prepare reports, dashboards, and other materials that support transparency, performance tracking, and informed executive leadership.
  • Develop or refine administrative workflows, templates, and processes that improve efficiency across the IT team.
  • Draft internal communications on behalf of the CIO, including announcements, updates, and process changes.
  • Perform additional duties as assigned, which may include attending or presenting in meetings, supporting HR related administrative needs, producing documentation, and maintaining logs and records.
  • Maintain an up-to-date inventory of all IT software licenses, subscriptions, and renewals while tracking license expirations, usage levels, and compliance with vendor terms. Monitor cost efficiency and recommend consolidation or optimization opportunities.

Location Requirements

DCY’s core hours of operation are Mon-Fri from 8:00am to 5:00pm, however, daily start/end times may vary based on operational need across DCY divisions. Employees may begin as early as 7:00am & as late as 9:00am, based on supervisory approval. This position performs work on‑site daily at DCY’s office space.

Job Description

This role provides high level administrative, operational, and coordination support to the Chief Information Officer (CIO) within the Ohio Department of Children and Youth. It is well suited for someone who is highly organized, comfortable managing sensitive information, and able to work in a fast paced environment with shifting priorities. Pay Information

Unless required by legislation or union contract, starting salary will be step 1 of the salary range associated with this position. New hires advance to the next step in the range after 6 months and annually thereafter. Based on collective bargaining and legislative activity, there may be cost of living increases awarded annually. Additional longevity supplements begin after 5 years. The current wage progression for this position is in the table below.
