Aquent Talent in New York is seeking a Production Studio Coordinator to be the operations hub of our state-of-the-art studio, managing bookings, coordinating resources, and ensuring a best-in-class production experience from concept to delivery. You will lead studio operations, supervise assistants, partner with equipment managers, and deliver clean, invoice-ready financial records.

A related field degree and strong communication are essential; experience with booking systems and data reporting

Job description

Are you a highly organized and motivated leader with a passion for bringing creative visions to life? As a Production Studio Coordinator, you will be the linchpin of our state-of-the-art studio operations, orchestrating a seamless and “best-in-class” production experience. This pivotal role blends operational excellence, strategic facility management, and high-touch client service, ensuring every project runs flawlessly from inception to completion. You will directly impact the efficiency and success of our creative content production, driving innovation and maintaining an environment where creativity thrives.

Responsibilities
  • Manage all studio bookings and scheduling, ensuring efficient resource allocation, avoiding conflicts, and maximizing studio utilization.
  • Proactively communicate booking confirmations, changes, and relevant details to clients and internal teams.
  • Manage WebCheckout (booking system) to track activity and ensure the workspace is consistently optimized to meet evolving user needs.
  • Drive studio transparency and brand engagement through consistent internal communications, including monthly studio newsletters and frequent executive-level presentations.
  • Leverage data to generate actionable quarterly scorecards and utilization reports, analyzing usage trends to uncover operational efficiencies and drive continuous improvement.
  • Oversee production assistants, including managing daily tasks, workflow coordination, and staffing schedules to ensure adequate support for all studio operations.
  • Serve as the strategic bridge between diverse cross-functional teams, internal stakeholders, and external production partners.
  • Proactively consult on project requirements, anticipate client needs, and maintain exceptional service standards to drive client satisfaction and project success from start to finish.
  • Work in partnership with the Equipment Manager to guarantee all studio assets are maintained at an industry-leading standard.
  • Oversee the end-to-end equipment workflow, including technical maintenance, inventory accuracy, and proactive coordination of repairs and upgrades.
  • Track and maintain accurate financial records related to studio operations (equipment orders, day-to-day operational expenses) within an approval threshold up to $225K.
  • Oversee daily studio functionality, from facility logistics and inventory management to the implementation of clear operational standards.
  • Maintain a clean, organized, and audit-ready environment by enforcing studio policies and coordinating with external service partners to ensure uninterrupted operational excellence.
  • Manage the end-to-end site logistics, including the coordination of complex freight and courier deliveries.
  • Act as the primary gatekeeper for facility security by managing guest access protocols and mitigating operational risk through the strict verification and compliance management of vendor Certificates of Insurance (COI).

Physical Demands: Ability to lift and carry up to 25lbs of equipment, and comfort with extended periods of standing and walking during studio setups and operations.

Must-Have Qualifications
  • Bachelor’s degree in a related field (Film, Television, Communications, or similar) preferred.
  • Proven experience in studio management or a related field within the media production industry. A strong understanding of production workflows, equipment, and terminology is essential.
  • Proven ability to synthesize complex datasets into actionable operational insights. Must be comfortable identifying patterns and trends within large volumes of information to draw strategic conclusions that inform studio planning, performance improvements, and resource optimization.
  • Proficiency in Microsoft PowerPoint is required, with the ability to create engaging presentations and reports.
  • Substantial background in studio or production management. Demonstrated ability to leverage booking and resource management systems (WebCheckout or similar) to optimize workflow and scheduling.
  • Proven leadership experience with the ability to manage, staff, and mentor production assistants.
  • Exceptional organizational and time management skills with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Excellent interpersonal and communication skills, with the ability to build rapport with clients and colleagues from diverse backgrounds.
  • Strong problem-solving skills and the ability to handle unexpected challenges in a fast-paced, high-pressure environment.
  • A proactive and solution-oriented approach with a strong commitment to client satisfaction.
  • Passion for beauty, fragrance, and skincare.
Nice-to-Have Qualifications
  • Experience with live streaming production workflows and technical setup to support our dedicated live streaming contractor.
