Barnard College is seeking a Production Coordinator to provide operational and administrative support for academic, co-curricular, and external events across the College's three campus theatres: Glicker-Milstein Theatre, LeFrak Theatre, and Minor Latham Playhouse. The role reports to the Senior Associate Director of Operations with dotted-line accountability to theatre directors.

Qualifications

  • Bachelor’s degree in theatre, event production and management, non-profit management or similar field
  • Experience working at college or university
  • Knowledge of at least one area of technical theatre (i.e. sound, lighting, etc.)

Responsibilities

  • Lead monthly operations meetings to improve visibility and planning across three theatre spaces
  • Support budget development and track expenditures for campus productions
  • Manage vendor contracts, licensing, and space renters
  • Oversee outfitting and maintenance of theatre spaces and procurement
  • Schedule campus theatre spaces with internal/external partners
  • Create scheduling policies for spaces in collaboration with Events Management
  • Coordinate with Columbia University offices as appropriate
  • Ensure safe use of spaces and onboarding of outside staff
  • Provide admin support for Theatre Department auditions
  • Attend production staff meetings and take notes
  • Reconcile weekly box office revenue and maintain POS systems
  • Manage event management and ticketing, including sales, refunds, and staff supervision
  • Coordinate campus access for ticket holders and guests
  • Collaborate with cross-campus teams for smooth events
  • Ensure audience safety and fire safety certification
  • Serve as on-site event contact and support receptions
  • Support publicity and community engagement with Barnard Communications
  • Develop systems to streamline communications across theatres on campus
  • Coordinate marketing materials with Barnard Communications
  • Archive production photos and videography workflows

Job: Production Coordinator

The Production Coordinator provides operational and administrative support for academic, co-curricular, and external events across the College’s three campus theatres: the Glicker-Milstein Theatre, LeFrak Theatre and Minor Latham Playhouse. The Coordinator reports to the Senior Associate Director of Operations in the LeFrak Center for Well Being with dotted-line accountability to Director of Production of the Minor Latham Playhouse and Glicker Milstein Theatre.

Job Description:
  • Operations Schedule and lead monthly meetings to improve visibility and planning processes across three theatre spaces
  • Support the budget development process; track budgets and expenditures for productions that take place in the LeFrak Theatre, Glicker-Milstein Theatre, and Minor Latham Playhouse
  • Manage relationships and contracts with vendors (in collaboration with Theatre Department where appropriate), licensing agencies (incl. performance rights for select campus performances), third-party space renters, and part-time production staff)
  • Participate in the outfitting and maintenance of theatre spaces in the Barnard Theatre Department, including the procurement of set materials and equipment purchases and upgrades
  • Schedule the use of campus theatre spaces in consultation with key campus partners, external partners/renters, and other internal/external stakeholders
  • Create and implement internal policies for scheduling of spaces by faculty, staff, and students (including recognized student organizations) in collaboration with Events Management and other stakeholders
  • Liaise with relevant Columbia University offices as appropriate
  • Ensure effective and safe use of the theatrical spaces, including onboarding of any outside production staff as appropriate
  • Provide semesterly administrative support for Theatre Department auditions
  • Attend production-related staff meetings and take notes
  • Reconcile weekly box office revenue and maintain POS equipment and software
  • Event Management
  • Manage ticketing for productions, including the creation of event pages and tickets and facilitating ticket sales, refunds, and customer service; hire and oversee student workers to support events and productions
  • Manage campus access process for all ticket-holders and other guests
  • Coordinate with Events Management, Facilities, CARES, and other cross campus teams to ensure smooth planning and execution of events and performances
  • Manage audience movement and safety at performances, maintaining fire safety certification
  • Serve as a primary on-site point of contact for events
  • Support post-performance receptions
  • Publicity
  • Support publicity for productions, including the management of community engagement lists, in direct coordination with Barnard Communications
  • Assist Senior Associate Director of Operations to create and implement systems for streamlining communications across theatrical venues on campus
  • Coordinate the production of marketing and other collateral materials with Barnard Communications as appropriate
  • Arrange for the archiving of production photos and videography, liaising with appropriate stakeholders
