This role focuses on coordinating delivery, installation, and service appointments, working with Sales, Warehouse, Delivery, Installation, and Service to keep jobs organized and moving on schedule.

You will handle high-volume calls and emails, maintain accurate schedules and ERP records, and ensure documentation is complete before appointments.

Qualifications

• Experience working with ERP or scheduling systems is a plus.

Responsibilities

• Coordinate and schedule customer deliveries, installations, and service appointments.

• Work with Sales, Warehouse, Delivery, Installation, and Service personnel.
• Ensure products, materials, permits, and documentation are ready before scheduled appointments.
• Maintain accurate schedules, project records, ERP information and notes.
• Monitor upcoming jobs and identify scheduling or documentation issues.
• Follow through on commitments and resolve scheduling conflicts promptly.
• Review completed jobs and close out supporting documentation.
• Assist with periodic inventory cycle counts.

Connecticut Appliance & Fireplace Distributors (CAFD) is seeking a dependable, highly organized Production Coordinator to join our team. This is primarily an administrative and customer service position responsible for coordinating delivery, installation, and service appointments. The Production Coordinator works closely with customers, Sales, Warehouse, Delivery, Installation, and Service to keep jobs organized, properly documented, and moving according to schedule.

This position is a good fit for someone who enjoys a fast-paced environment, communicates confidently with customers, and can manage multiple schedules, and priorities throughout the day.

Schedule

Monday-Friday, 7:00am- 3:30pm

Pay

$25.00-$28.00/hour D.O.E

Full-time, on site

Essential Duties and Responsibilities

• Coordinate and schedule customer deliveries, installations, and service appointments.
• Communicate regularly with customers by phone and email regarding appointments, scheduling and project status.
• Work closely with Sales, Warehouse, Delivery, Installation, and Service personnel.
• Confirm products, materials, measurements, permits, work orders, and required documentation are ready before scheduled appointments.
• Maintain accurate schedules, project records, ERP information and communication notes.
• Monitor upcoming jobs and proactively identify scheduling or documentation issues.
• Consistent follow through on commitments, proactively remove obstacles, and deliver high-quality results.
• Resolve routine scheduling conflicts and communicate changes promptly.
• Review completed jobs and supporting documentation before final closeout.
• Assist with periodic inventory cycle counts.
• Perform other related duties as assigned.

Preferred

• Previous experience in dispatching, scheduling, service coordination, construction coordination, or similar position.
• Experience coordinating field technicians, delivery personnel or installation crews.
• Experience working with an ERP, scheduling, or service-management system.
• High-school diploma or equivalent
• One or more years of related administrative, customer service, scheduling, or dispatch experience.

Our Production team plays an important role in ensuring that our customer's deliveries, installations, and service needs are coordinated accurately and professionally.

This position is primarily office-based, with occasional activity in our warehouse as needed.
