Job description

We’re CIVIC. Since 1999, we’ve led the way in cultural marketing, providing integrated solutions to top-tier brands including Ford, Audible, HBO Max, Verizon, Amazon Studios, The Stonewall Inn, NBCUniversal, Peacock, among many others. We are an Ad Age Small Agency Award winner (Gold) for 2024 & 2025. We are known for big ideas—creating long-term brand platforms designed to impact culture, address the biggest societal issues, build loyalty, stimulate word of mouth and generate client revenue.

Our broad suite of integrated marketing services includes:

  • Brand Strategy, Concept and Creative Development
  • Live Event, Proprietary Brand Activations and Pro-Social Campaigns
  • Content Development and Execution via Civic Studios
  • PR/Media Relations and Social Media Marketing
  • Executive and Internal Communications
  • Growth Marketing and Partnership Development

At Civic, we believe business is the world’s most powerful platform for positive change. We believe our community can build bridges between companies and communities and we empower our employees to help amplify underrepresented voices. Our goal is to build a more inclusive and equitable future in tandem with our clients and partners.

THE ROLE

As a Producer, your job is to lead the charge on bringing memorable, one-of-a-kind marketing activations to life—experiential, traditional, and everything in between—working hand-in-hand with our account and creative teams. You'll be there from the first spark of an idea all the way through to execution.

Primary Purpose (75%):

You’ll team up closely with the account and creative teams to take big creative concepts and turn them into memorable engagements. That means owning pre-production, running the show during execution, and handling post-production and budget reconciliation. You're just as comfortable leading a team of production assistants as you are managing a multimillion-dollar budget.. You’ll work directly with clients and partner across internal teams and outside vendors to make sure the creative vision delivers the project's goals and KPIs. To do this well, you should have a solid background in event production—from planning through execution—ideally with real hands-on experience in experiential marketing.

Key Responsibilities & Duties
  • Own every part of event production, from the earliest planning through setup, breakdown, and wrap-up
  • Manage budgets—estimating, projecting, and tracking costs—teaming up with CIVIC's finance team to make sure projects get reconciled properly, per policy
  • Keep project documentation and files organized, tracked, and filed
  • Help research, source, and select venues, and handle permitting when needed
  • Negotiate vendor contracts (venues, production/staging, AV, catering, among others.) using CIVIC's tools—terms and conditions, scopes of work, certificates of insurance, and so on
  • Manage relationships with vendors
  • Mentor junior team members, and help identify, hire, onboard, and supervise freelance and temp event staff as needed
  • Source and select production elements—scenic design and fabrication, AV and lighting, power, furniture and decor—plus site vendors like heavy equipment and internet
  • Build, communicate, and run the production schedule and run-of-show
  • Manage your own workload and stay ahead of tasks
  • Help keep CIVIC's culture strong and bring a positive, forward-thinking attitude
  • Work directly with clients and outside consultants (in person/on-site) to diplomatically figure out what they need and pitch solutions that fit their budget
  • Pitch in on concept development meetings and proposals for new projects and clients
Secondary Ad Hoc Projects (25%):
  • Help manage team and company processes and procedures as needed
EXPERIENCE / REQUIREMENTS
  • 3-6 years in experiential or special events. Heads up: if you haven't led technical vendors for live events (not TV), we won't be able to consider your application
  • Hands-on experience in specific areas of event production, working with all kinds of production and technical vendors—scenic, video, lighting, audio, power, heavy equipment, union and non-union labor
  • You're a resourceful self-starter who thrives in a fast-paced environment—someone who can spot problems coming, work around them, and still keep the team in the loop, all while using your technical know-how to solve problems creatively and safely
  • Super organized with a sharp eye for detail and great communication and presentation skills. You need to be a clear, concise, strong writer
  • You've built budgets of various sizes (up to seven figures) without going over, and you've overseen a detailed reconciliation process
  • Comfortable reading and interpreting technical drawings
  • Strong with Microsoft Word, Excel, and PowerPoint, plus Google Docs. Bonus points for AutoCAD, Photoshop, Illustrator, or InDesign
  • You're a positive team player who genuinely loves collaborating, welcomes the day-to-day challenges of working with creative clients, and is excited about the ever-changing world of experiential events. Motivated, enthusiastic, resourceful, trend-aware, hardworking, and able to switch gears on the fly
  • Bachelor's degree and/or equivalent experience preferred
  • Must be based in New York, per client needs
CIVIC COMMUNITY AND CULTURE BENEFITS:
  • A positive, fun, supportive and diverse team environment, with opportunities for advancement and a commitment to staff development and growth
  • Competitive salary and incentives
  • Full benefits package including dental and vision, and retirement plan with employer match
  • Best in class parental leave benefits
