Job summary

West Virginia Department of Environmental Protection, Division of Land Restoration, is seeking a Purchasing Assistant in Charleston to provide procurement support, maintain records, and process invoices.

Under supervision of the Procurement Supervisor, you will handle filing, inventory tracking, PCard purchases, travel arrangements, FOIA responses, and assist with reports across the Procurement Management System and related platforms.

Qualifications

• Graduation from a standard high school.
• Two years full-time or equivalent part-time paid clerical experience which included familiarity with purchasing.
• Substitution: Completed study from a regionally accredited college/university may be substituted for one year of the required experience.

Responsibilities

• Maintain procurement resources: checklists, coding, funding, SOPs, and staff lists.
• Monitor procurement email and system for invoices, requests, inquiries; route work to staff.
• Audit electronic filing system; manage archiving; redact/destroy confidential files per retention policy.
• Track inventory and prepare purchase requests; assist staff with purchases in the system.
• Review invoices for accuracy and obtain approvals; process payments in the system.
• Pay invoices and make DLR purchases on PCard; arrange travel and meetings for staff; reconcile PCard transactions.
• Handle administrative duties: screen calls, manage emails, prepare forms and reports.
• Schedule meetings/trainings; manage reservations and interview materials.
• Assist with FOIA requests; back-up contact for questions and emergencies.
• Publish legal ads for NPDES actions; track affidavits and fee transfers.
• Process mail and packages; handle logistics.
