Job summary

Electro Rent in Van Nuys, CA is seeking a proactive Purchasing Assistant to coordinate vendor returns, repairs, credits, replacements, spare parts, and purchasing activities. You will work with vendors and internal teams to move transactions from initial request to final resolution.

Responsibilities include creating and updating purchase orders for returns, repairs, credits, and new purchases; tracking RMAs; coordinating shipments; maintaining records in the MRP system; and resolving invoicing

Qualifications

• High school diploma or equivalent education and experience.
• At least one year of office, administrative, purchasing support, order-processing, or comparable experience.
• Proficiency with Microsoft Excel, Outlook, and Teams.
• Strong data-entry, organizational, and recordkeeping skills.
• Clear written and verbal communication.
• Ability to manage multiple priorities and follow through on open items.
• Practical problem-solving skills and strong attention to detail.
• Experience with vendor RMAs and purchase orders is a plus.

Responsibilities

• Coordinate vendor return merchandise authorizations (RMAs).
• Create and update purchase orders for returns, repairs, credits, replacements, new purchases, and spare parts.
• Track equipment and RMAs from authorization through final closure.
• Coordinate shipments with domestic and overseas warehouses.
• Maintain accurate purchasing and asset records in the MRP system.
• Investigate damaged goods, shortages, incorrect shipments, missing credits, and other discrepancies.
• Provide clear, timely updates to vendors and internal teams.
• Help resolve invoice, credit, and billing issues with Purchasing and Accounting.
• Follow up on outstanding vendor actions and identify opportunities to improve processes.
