Job summary

Imagine USA in Fullerton, CA seeks an organized purchasing/order management specialist to manage multiple orders, vendor communications, and pricing accuracy. You will take ownership of tasks, follow through on outstanding items, and resolve discrepancies.

This role collaborates with Sales and Customer Care to provide product availability, lead times, and delivery dates, reviews invoices, and ensures PO accuracy while keeping ERP records up to date.

Qualifications

• 2+ years of experience in purchasing, order management or a related role.
• Experience creating and managing purchase orders and working directly with vendors.
• Experience reviewing pricing, invoices and order documentation.
• Proficiency with Microsoft Excel and Outlook.
• Experience with Salesforce and QuickBooks preferred.

Responsibilities

• Create and submit purchase orders to vendors based on company needs.
• Track open purchase orders and follow up with vendors on order status, backorders and expected delivery dates.
• Review order details, pricing and vendor documentation for accuracy.
• Work closely with the Sales and Customer Care teams to support customer orders and provide information on product availability, backorders, lead times and expected delivery dates.
• Identify and resolve discrepancies involving purchase orders, invoices, pricing, quantities or shipments.
• Communicate with vendors regarding orders, invoices, credits, returns and other purchasing-related issues.
• Coordinate with inventory and shipping/receiving to ensure incoming products are properly tracked and available for customer orders.
• Assist with other order processing, purchasing and administrative responsibilities as needed.
