Job summary

Z Domus Designs in Malvern, PA, is seeking a highly organized part-time Procurement Coordinator to support furnishings procurement, order management, and vendor coordination. This in-person role focuses on keeping orders tracked, deliveries on schedule, and inventory organized.

You will work closely with designers, warehouse partners, delivery teams, and the accounting group to maintain systems, resolve issues, and improve procurement processes.

Qualifications

• 2+ years of procurement, purchasing, accounts payable, vendor management, order management, or logistics.
• Experience with vendor communication and shipping/delivery issue resolution.
• Experience with invoices, purchase orders, or financial documentation.
• Familiarity with procurement software or inventory systems.
• Interest or experience in interior design furnishings is a plus.

Responsibilities

• Oversee post-order furnishings procurement from order placement through final delivery
• Monitor purchase orders, lead times, backorders, and delivery statuses
• Maintain procurement logs, vendor ETAs, order records, and project tracking
• Communicate with vendors for tracking information, updates, confirmations, and delivery schedules
• Resolve order issues, damages, shortages, replacements, and returns
• Coordinate deliveries to warehouses, receiving facilities, or client homes
• Prepare receiving documentation for warehouse partners and project managers
