Job summary

CubX Inc. is seeking a detail‑oriented Procurement Coordinator to own the day‑to‑day procurement process for hardware, software, licensing, and vendor relationships.

You will obtain vendor quotes, place orders, track shipments, manage renewals and RMAs, and coordinate with engineering and accounts to keep projects on schedule. Join a fast‑growing MSP that emphasizes teamwork, professional development, and a modern on‑site office in New Jersey.

Responsibilities

  • Obtain and compare vendor quotes
  • Place hardware, software, licensing, and cloud service orders
  • Track orders, shipments, and deliveries
  • Coordinate with vendors and distributors to resolve issues
  • Manage RMAs, returns, and warranty claims
  • Manage software subscriptions, licensing, and renewals to ensure services remain active
  • Monitor upcoming renewals and coordinate with internal teams and vendors to prevent service interruptions
  • Maintain procurement records and update internal systems
  • Work with Accounting to reconcile invoices and purchasing records
  • Ensure hardware and licensing are available for client projects and onboarding
  • Partner with engineering and account management to identify product improvements that create value
  • Prepare quotes and recommendations for hardware, software, and managed services to grow recurring revenue
  • Develop strong relationships with vendor partners and stay current on new products and programs

About the Role:

The Procurement Coordinator will own the day-to-day procurement process and help ensure our hardware, software, licensing, subscriptions, and vendor relationships run smoothly.

Core responsibilities will include:

  • Obtaining and comparing vendor quotes
  • Placing hardware, software, licensing, and cloud service orders
  • Tracking orders, shipments, and deliveries
  • Coordinating with vendors and distributors to resolve issues
  • Managing RMAs, returns, and warranty claims
  • Managing software subscriptions, licensing, and renewals to ensure services remain active and renewals are completed on time
  • Monitoring upcoming renewals and proactively coordinating with internal teams and vendors to prevent service interruptions
  • Maintaining accurate procurement records and updating internal systems
  • Working with Accounting to reconcile invoices and purchasing records when needed
  • Ensuring hardware and licensing are available in time for client projects and onboarding
  • Partnering with our engineering and account management teams to identify product recommendations, refresh opportunities, and licensing improvements that create additional value for clients
  • Preparing quotes and recommendations for hardware, software, and managed services that support client growth while helping drive additional recurring revenue
  • Developing strong relationships with our vendor partners and staying current on new products, promotions, and programs that may benefit our clients
