Job summary

Solution Builders, Inc. is seeking a Product Procurement Specialist to generate quotes, process orders, and manage vendor relationships for client projects. The role requires coordinating with tech teams and ensuring accurate procurement cycles.

Ideal candidates have 2–5 years in procurement or related fields, strong Excel skills, and experience with ERP/CRM/PSA systems. On-site work is required, with a focus on delivering high-quality client outcomes.

Qualifications

• High school diploma or equivalent (required).
• AA/BS/BA in computer science, business administration, or related field preferred.
• 2–5 years of procurement, purchasing, supply chain, inside sales, or vendor management experience.
• Experience in MSP, VAR, technology distributor, or IT services environment.
• Familiarity with major vendors like Microsoft, Cisco, Dell, HP, Lenovo, etc.
• Experience with ERP, PSA, CRM, and procurement systems.
• Understanding of software licensing, cloud subscriptions, and technology lifecycle management.
• 2 years of personal computer experience.
• Strong written and verbal communication skills.
• Strong organizational skills with ability to manage multiple priorities.
• Proficiency in Microsoft 365 applications, especially Excel.
• Customer-service mindset and cross-department collaboration.

Responsibilities

• Generate quotes and process orders for clients using SB’s standard deployment procedures.
• Prioritize quote requests based on urgency and importance.
• Utilize SB quoting tools for efficient and timely quoting.
• Provide status updates to clients and internal staff.
• Manage procurement boards in the ticketing system and keep quotes accurate.
• Coordinate renewals for hardware and software agreements.
• Procure and document renewals; inform project teams of client-site needs.

Overall Responsibility

Position Purpose

The Product Procurement Specialist is responsible for generating quotes and processing orders for clients and maintaining vendor relationships.

Position Functions

Quote Products

• Product and labor quote requests are accurately processed utilizing Solution Builders' standard deployment standards.
• Quote requests are properly prioritized, recognizing that some need to be processed more quickly than others.
• Utilize Solution Builders quoting tools according to best practices for efficient and timely quoting.
• Provide feedback to client technical contacts and the proper Solution Builders staff regarding order status and delivery.
• Manage the product procurement boards in the Solution Builders ticketing system, keeping quote status accurate.
• Check in and store equipment safely on a timely basis and properly distribute it to technicians for deployment.
• Purchase all O365 licenses for clients.
• Coordinate Hardware and Software Agreement Renewals
  • Track all software and hardware agreement renewals.
  • Create quotes for renewals 60 days in advance.
  • Send the renewal quotes to clients and follow up on pending quotes.
  • Procure and document the renewals. If something at the client site needs to be implemented, inform the project team so the implementation can happen.

Additional Duties and Responsibilities

• Upholds the company policy guidelines as well as recommends new and improved guidelines to ensure compatibility and better service at client locations.
• Maintains current technical expertise in the rapidly changing technology of computing and utilizes state-of-the‑art techniques when implementing client solutions.
• Maintains a positive attitude and positive working relationship with all departments to optimize working relationships and communication.
• Fulfills department requirements in terms of providing work coverage and administrative notification during periods of personnel illness, vacation, or education.
• Performs at or above company performance standards established within the department.
• Other tasks and projects as directed by company management.

What We’re Looking For

• Ability to work onsite required. This is not a remote position.
• High school diploma or equivalent required
• AA, BS or BA degree in computer science, business administration, business communications or related field is preferred
• 2–5 years of procurement, purchasing, supply chain, inside sales, or vendor management experience
• Experience in a Managed Service Provider (MSP), Value-Added Reseller (VAR), technology distributor, or IT services environment.
• Familiarity with major technology vendors such as Microsoft, Cisco, Dell Technologies, HP, Lenovo, etc.
• Experience working with ERP, PSA, CRM, and procurement systems.
• Understanding of software licensing, cloud subscriptions, and technology lifecycle management.
• 2 years of personal computer experience
• Strong written and verbal communication skills
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Proficiency in Microsoft 365 applications, particularly Excel.
• Strong attention to detail and commitment to accuracy.
