Job Title: Process Improvement Specialist
Monthly Pay: $3,721 - $5,558 USD per month
Summary:
Accurate workflow checks, clear findings, and measurable improvements define good work in this role. The Process Improvement Specialist supports everyday operational processes by identifying repeated delays, checking handoffs, and helping teams test practical changes that reduce avoidable rework. This position sits within the operations team, works under an operations team lead, and collaborates with process owners, frontline colleagues, and training staff to keep improvements grounded in everyday work. This is a fully remote, desk-based position offering work from home in Pennsylvania, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Receive improvement requests through a shared work queue and email, clarify the reported issue, and record the process owner and expected outcome.
- Check submitted examples for missing steps, inconsistent information, and unclear handoffs before beginning a focused review of the affected workflow.
- Walk through current procedures with process owners, noting task sequence, decision points, recurring obstacles, and how work moves between teams.
- Maintain baseline measures using a spreadsheets and data entry tool such as Google Sheets, checking calculations and source information before sharing findings.
- Compare turnaround times, error patterns, and repeat work to identify practical improvement opportunities without assuming that every variation requires a change.
- Prepare clear change suggestions that explain the problem, supporting evidence, expected improvement, and any questions requiring the operations team lead’s decision.
- Organize approved small-scale tests in a project management tool such as Asana, tracking assigned actions, dependencies, target dates, and unresolved questions.
- Follow up with action owners when updates are missing, and **escalate** stalled tests or conflicting instructions to the operations team lead.
- Compare test results with baseline measures, summarize what changed, and help process owners update working instructions after changes receive approval.
- Maintain complete review notes and handoffs; quality is judged by accuracy, turnaround, complete notes, and consistent follow-up through closure.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of experience supporting operations or process improvement preferred, including exposure to reviewing recurring tasks and suggesting practical changes.
- Understanding of continuous improvement concepts, including waste reduction, standard work, and simple methods for comparing current and proposed workflows.
- Ability to read process instructions, identify unclear steps, and distinguish observed facts from assumptions when describing an operational issue.
- Familiarity with spreadsheet formulas, sorting, filtering, and basic comparisons to support repeatable checks and clear summaries of operational performance.
- Comfort using shared task trackers to maintain owners, due dates, progress updates, and links between related improvement activities.
- Clear written and verbal communication for asking focused questions, explaining findings, and coordinating follow-up with colleagues across different operational responsibilities.
- A reliable computer, high-speed internet, and quiet private workspace, plus availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
