Qualifications

Responsibilities

We are excited to announce that we are looking for a Full Time, Procedure Scheduler at Center for Digestive Diseases in Union, NJ.

About the Role

The Procedure Scheduler plays a critical role in the healthcare delivery process by efficiently coordinating and scheduling medical procedures for patients within a healthcare facility. This position ensures that all procedural appointments are accurately booked, taking into account patient needs, physician availability, and resource allocation to optimize operational flow. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate clear communication and timely scheduling. By managing appointment logistics and maintaining detailed records, this role helps reduce wait times and enhances patient satisfaction. Ultimately, the Procedure Scheduler contributes to the smooth functioning of clinical services, supporting both patient care and organizational efficiency.

Responsibilities
  • Coordinate and schedule medical procedures and diagnostic tests in accordance with physician orders and patient requirements.
  • Communicate effectively with patients to confirm appointments, provide preparation instructions, and address scheduling inquiries.
  • Collaborate with healthcare providers, departments, and external facilities to ensure availability of necessary resources and personnel.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Monitor and manage procedure schedules to optimize utilization of clinical resources and minimize patient wait times.
  • Assist in resolving scheduling conflicts and rescheduling procedures as needed due to cancellations or changes in patient condition.
  • Ensure compliance with healthcare regulations, privacy standards, and organizational policies related to patient scheduling.
  • Provide administrative support by generating reports related to procedure volumes, scheduling efficiency, and patient flow.

Minimum Qualifications

  • Familiarity with electronic health record (EHR) systems and scheduling software.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both verbal and written, to interact professionally with patients and healthcare staff.
Preferred Qualifications
  • Certification in medical scheduling or healthcare administration (e.g., Certified Medical Administrative Assistant).
  • Experience working in a hospital, outpatient clinic, or specialized medical practice setting.
  • Knowledge of medical terminology and procedural coding.
  • Proficiency with advanced scheduling platforms and Microsoft Office Suite.
  • Demonstrated ability to handle sensitive patient information with confidentiality and discretion.
