Job description

Position Summary

The Office Manager plays a central role in supporting the daily operations of Sunfield Waldorf School & Farm. This position oversees office administration, communications systems, operational logistics, technology platforms, organizational systems, and administrative support functions that help the school and farm run smoothly. The Office Manager serves as a key point of contact for families, staff, vendors, and community members while maintaining efficient systems and processes that support the organization's mission.

Primary Responsibilities
Office Administration & Front Office Operations
  • Maintain an organized, welcoming, and efficient school office.
  • Coordinate incoming communications, mail, visitor support, and daily office operations.
  • Maintain organizational records, files, calendars, forms, and administrative resources.
  • Support smooth communication and information flow throughout the organization.
Communication & Technology Systems
  • Manage key communication and technology platforms, including ParentSquare, Google Workspace, the school website, and designated social media accounts.
  • Coordinate school-wide communications, announcements, reminders, and updates.
  • Support staff with routine technology and account-management needs.
  • Maintain organizational accounts, access permissions, and digital systems.
Operational Coordination & Administrative Systems
  • Maintain organizational calendars, recurring deadlines, operational procedures, and administrative workflows.
  • Coordinate vendors, service providers, subscriptions, and routine operational needs.
  • Develop and improve systems, templates, checklists, and procedures that support organizational efficiency.
Training, Safety & Preparedness
  • Coordinate required staff trainings, certifications, and compliance tracking.
  • Maintain emergency preparedness materials, safety documentation, and training records.
  • Support school safety planning, drills, and preparedness initiatives.
Staff, Event & Program Support
  • Provide administrative and logistical support to teachers, staff, and leadership.
  • Assist with school events, meetings, trainings, community gatherings, and special projects.
  • Coordinate materials, communications, scheduling, and logistical needs for organizational activities.
Purchasing, Supplies & Resource Management
  • Coordinate ordering, inventory, and distribution of office, classroom, and school supplies.
  • Maintain purchasing records and support established purchasing procedures.
  • Ensure staff have the materials and resources needed to carry out their work effectively.
Qualifications
Required
  • Strong organizational, administrative, and time-management skills.

Preferred
  • Experience in a school, nonprofit, administrative, operations, or customer-service setting.
  • Experience with communication platforms, websites, Google Workspace, or similar systems.
  • Experience coordinating events, trainings, logistics, or operational systems.
Physical Requirements
  • Regular use of computers and standard office equipment.
  • Ability to move throughout campus and occasionally lift or carry supplies and materials.
  • Ability to perform local errands and operational tasks as needed.
Additional Information

Employment is contingent upon successful completion of required background checks and compliance with Sunfield's child safety, confidentiality, and mandated reporting requirements.

Compensation

This is a year-round, full-time, hourly position, at 40 hours per week, with occasional evening and weekend hours required to support school events.

Pay range is $22-$25 an hour, depending on experience.
