Summary :
The Production Scheduler & Procurement Coordinator is primarily responsible for developing, maintaining, and optimizing production schedules to ensure efficient workflow across the plant. The role also supports procurement activities to guarantee material availability for scheduled jobs. This position is central to meeting customer delivery expectations by coordinating production planning, collaborating with department leads, managing job priorities, and using tools such as PrintFlow Dynamic Scheduling.
Schedule :
1st shift, eight or more hours per day, five or more days per week based on business needs. Primary schedule will be 8:00 AM – 4:30 PM, Monday-Friday, or similar. This is an on-site position requiring the employee to be present physically. Training may occur on other shifts.
Salary Range: $60,000 to 80,000 Annually

Essential Duties and Responsibilities include the following:
Scheduling Responsibilities (Primary)
- Create, maintain, and adjust detailed daily, weekly, and long-term production schedules based on customer requirements, resource availability, and operational capacity.
- Collaborate closely with prepress, press, finishing, and shipping leads to coordinate cross-departmental workflow.
- Act as the primary user and administrator of PrintFlow Dynamic Scheduling software.
- Monitor job progress, proactively resolve schedule conflicts, and identify production bottlenecks.
- Allocate personnel and materials to meet changing priorities and production targets.
- Manage outsource projects, including Turnkey services, by coordinating schedules, maintaining vendor communication, and ensuring service levels and deadlines are met.
- Serve as the primary contact for outsource vendors, overseeing performance, resolving issues, and ensuring alignment with production needs.
- Lead or contribute to continuous improvement initiatives focused on reducing downtime and optimizing scheduling processes.
- Communicate real-time schedule updates clearly to internal teams including customer service and sales.
- Others as assigned.
Procurement Responsibilities (Supportive)
- Support material availability by verifying purchase requisitions and coordinating with the inventory team.
- Issue and track purchase orders as needed; confirm specs, lead times, and delivery schedules.
- Work with vendors to resolve material shortages or delays that impact the production schedule.
- Assist in monitoring supplier performance and compliance with quality and regulatory standards.
- Maintain accurate records related to procurement and materials for scheduled production jobs.

Experience And Qualifications
EDUCATION, LICENSES, CERTIFICATIONS, EXPERIENCES:
- Three (3) to five (5) years’ experience of production scheduling in printing.
- Bachelor’s degree or experienced in Business Administration, Production Management, Scheduling, or a related field.
- Advanced proficiency in Scheduling software (PrintFlow Dynamic Scheduling) and other productivity tools.
CRITICAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS:
- Strong knowledge of wide-format print production processes.
- Proactively identify and recommend process improvements to enhance efficiency, reduce waste, and support operational excellence.
- Effectively communicate orally with all members of the internal organization as well as external customers.
- Adaptable skillset to work within a fast-paced, entrepreneurial business environment.
- Ability to work independently or in a team environment.
- Detail-oriented, accuracy focused, and organized work ethic including efficient time management skills, with proven track record of completion of tasks/assignments.
