Job description

Atlanta Winsupply is seeking a detail-oriented Pricing and Rebate Specialist to manage manufacturer pricing programs, special pricing agreements, and customer-specific pricing. This position oversees program administration from initial setup through renewal and reconciliation, helping protect gross margin through accurate pricing, current approvals, and timely recovery of eligible manufacturer rebates. You will work closely with sales, purchasing, accounting, and manufacturer representatives, owning open pricing issues from initial request through resolution.

Key Responsibilities
  • Manage new program requests, renewals, extensions, and revisions with sales and manufacturer representatives. Gather required customer, project, and product details and follow each request through approval and implementation.
  • Maintain accurate program records, including manufacturer and customer information, agreement numbers, covered products, approved pricing and terms, effective and expiration dates, and supporting documentation.
  • Monitor upcoming expirations, start renewal follow-up early, and notify affected teams of pending approvals, changes, or coverage gaps.

Pricing accuracy and margin review

  • Enter and maintain approved pricing in WISE and related tracking tools. Validate customer and item assignments, units of measure, price lists, multipliers, and effective dates before and after updates.
  • Check distributor cost and contractor selling price against approved terms. Review expected gross margin after applicable rebates and flag pricing that falls below established targets.
  • Investigate quote, order, and invoice discrepancies. Coordinate approved corrections, document the cause, and address recurring setup errors.

Rebate reconciliation and recovery

  • Prepare, review, and submit pricing reconciliations and rebate claims according to each manufacturer's requirements and deadlines. Verify eligible sales, quantities, returns, credits, pricing, and program coverage against supporting records.
  • Identify missed claims, duplicate claims, rejected items, and differences between expected and approved rebates. Research discrepancies and follow up with manufacturers until resolved.
  • Track submissions, deadlines, expected credits, credits received, and outstanding balances. Work with accounting to match credits to claims and retain a clear audit trail.

Additional pricing responsibilities

  • Maintain customer pricing contracts and approved pricing matrices in alignment with manufacturer agreements. Apply vendor price changes and remove or replace expired pricing as directed.
  • Communicate material pricing changes to sales and purchasing and help the team locate the correct approved pricing for customers and jobs.
  • Provide a concise weekly update on upcoming expirations, pending requests, unresolved pricing issues, outstanding rebates, and margin concerns, with an owner and next action for each open issue.
  • Maintain written procedures and organized records. Identify practical ways to reduce manual work, prevent errors, and improve turnaround time.
Required qualifications
  • Experience working with detailed numerical records in pricing, purchasing, accounting, inside sales, inventory control, or a similar business support role.
  • Strong Excel or Google Sheets skills, including sorting and filtering, lookup formulas, pivot tables, and comparing large data sets to find missing or incorrect information.
  • Ability to calculate gross margin, distinguish margin from markup, and understand how cost, selling price, discounts, and rebates affect profitability.
  • Strong attention to detail and consistent follow-through. Able to manage recurring deadlines, maintain organized records, and investigate discrepancies independently.
  • Clear written and verbal communication and sound judgment when handling confidential customer pricing, supplier terms, and financial information.
Preferred qualifications
  • Experience managing manufacturer pricing programs, special pricing agreements, rebates, or distributor pricing processes.
  • Experience with WISE or another distribution ERP system and familiarity with fire protection, pipe, valves, fittings, or wholesale distribution.

Candidates with strong analytical skills and relevant pricing or reconciliation experience are encouraged to apply, even without experience in a specific manufacturer's program.

What success looks like
  • Approved pricing is entered accurately and promptly, and upcoming expirations are addressed before they disrupt sales or rebate eligibility.
  • Reconciliation and claim deadlines are met; eligible rebates are captured; and outstanding credits and disputes have documented follow-up.
  • Pricing and margin issues are identified early, corrected with appropriate approval, and monitored to prevent repeat errors.
  • Sales and leadership have reliable visibility into program status and can depend on consistent follow-through.
