We’re seeking a highly organized and detail-oriented Practice Specialist to support a senior Intellectual Property Shareholder within a fast-paced, sophisticated, Am Law 100 legal environment. Responsibilities
- Provide high-level administrative and practice support to an IP Shareholder and legal team
- Draft, edit, proofread, and format correspondence, client communications, agendas, cover letters, and other legal/business documents
- Manage complex calendars, meetings, deadlines, travel arrangements, and other scheduling needs
- Coordinate and track client billing, estimates, accruals, invoices, and vendor invoices
- Enter and maintain attorney time and timesheet information with a high degree of accuracy
- Open and maintain client and matter files and assist with conflict checks
- Manage electronic files and records using systems such as iManage and InTapp
- Assist with client-related projects, reports, research, and data analysis as needed
- Coordinate file transfers and maintain accurate matter documentation
- Work closely with attorneys and internal departments to improve workflows and administrative processes
- Use Microsoft Word, Excel, Outlook, PowerPoint, Adobe, and other firm technology to efficiently manage daily responsibilities
- Develop working knowledge of Intellectual Property practice support and the needs of IP attorneys and clients
- Anticipate attorney needs, exercise sound judgment, and proactively resolve issues
- Complete ongoing firm training and technical education
- Perform additional duties and special projects as assigned
Requirements
- 5+ years of administrative, legal support, or client service experience
- Experience supporting attorneys, executives, or other senior professionals strongly preferred
- Prior experience in a law firm or professional services environment preferred
- Strong written and verbal communication skills
- Exceptional attention to detail and proofreading ability
- Excellent organizational and time-management skills with the ability to prioritize competing deadlines
- Strong interpersonal skills and professional presence
- Ability to work independently, anticipate needs, and take initiative
- Comfortable handling confidential and sensitive information
- Strong proficiency with Microsoft Office, particularly Word, Excel, and Outlook
- Experience with iManage, InTapp, Chrome River, or similar legal technology is highly preferred
- Ability to work onsite in Seattle
