The ideal candidate is organized, discreet, and proactive, able to manage calendars, travel, meetings, billing support, and confidential documents while collaborating across departments.

Qualifications

  • Minimum 4 years of executive assistant experience supporting senior leadership.
  • Bachelor's degree or equivalent professional experience.
  • Proficiency in MS Office and document management systems.
  • Ability to handle confidential information with discretion.
  • Familiarity with transactional and corporate legal terminology preferred.

Responsibilities

  • Manage special projects assigned by executive leadership.
  • Coordinate and track project timelines to ensure timely completion.
  • Manage complex executive calendars and scheduling.
  • Coordinate internal and external meetings.
  • Arrange domestic and international travel.
  • Prepare meeting agendas, materials, and presentations.
  • Attend meetings and record meeting minutes as requested.
  • Assist with firm events, retreats, and leadership initiatives.

Job description

We are seeking an Executive & Legal Practice Assistant to support executive leadership and the legal practice within a Commercial, Intellectual Property & Technology group. This role combines executive-level administrative support with legal practice assistance in a fast-paced law firm environment.

The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities while maintaining confidentiality and delivering exceptional client service. This is a full-time, on-site position requiring a Monday through Friday schedule during regular business hours, with occasional overtime as needed.

Key Responsibilities
Executive Support
  • Manage special projects assigned by executive leadership.
  • Coordinate and track project timelines to ensure timely completion.
  • Manage complex executive calendars and scheduling.
  • Coordinate internal and external meetings.
  • Arrange domestic and international travel.
  • Prepare meeting agendas, materials, and presentations.
  • Attend meetings and record meeting minutes as requested.
  • Assist with firm events, retreats, and leadership initiatives.
  • Collaborate with departments across the organization.
  • Perform additional administrative projects as assigned.
Legal Practice Support
  • Perform conflict checks using legal conflict management software.
  • Draft engagement letters and conflict waivers.
  • Prepare legal correspondence and manage attorney calendars.
  • Track attorney CLE requirements and maintain related records.
  • Process expense reimbursements.
  • Prepare, format, proofread, and revise legal documents.
  • Assist with attorney pre-billing and billing support.
  • Coordinate document execution through DocuSign.
  • Support scanning, copying, and document management projects.
  • Assist with additional legal and administrative assignments as needed.
Qualifications
  • Minimum of 4 years of Executive Assistant experience supporting senior leadership.
  • Bachelor's degree with 3–5 years of experience in a legal or professional services environment, or high school diploma with 5–7 years of relevant experience, or an equivalent combination of education and experience.
  • Advanced proficiency with Microsoft Office and document management systems.
  • Strong organizational, project management, and multitasking abilities.
  • Excellent business writing, proofreading, and communication skills.
  • Professional demeanor with exceptional interpersonal skills.
  • Ability to anticipate needs and work independently.
  • Experience handling highly confidential information with discretion.
  • Familiarity with transactional and corporate legal terminology, contracts, and agreements.
  • Strong customer service skills with the ability to communicate effectively with attorneys, clients, and internal teams.
  • Legal Secretary or Paralegal certification preferred.
  • Experience with liquor licensing, cannabis licensing, or other regulatory matters is a plus.
