Practice Manager 2, Neurology Practice (Hyannis) – Cape Cod Healthcare
Responsible for the management of all phases of office operations for the neurology practice, including fiscal oversight, staff and patient services.
Responsibilities
- Prioritizes patient access to physicians, providers, and ancillary care services
- Serves as a conduit for bi-directional communication between physicians, providers, support team members, and management. Communicates frequently using team huddles, staff meetings, email communications, and other appropriate mediums
- Develop and define practice goals for operational and financial performance; prepare departmental budgets; develop and review monthly dashboard reports on key performance indicators; manage practice to meet and exceed targets
- Coordinate activities to ensure that practice operations conform to principles of excellent clinical care; create and monitor office systems that promote customer service and satisfaction
- Ensure customer service standards/scripts for all patient interactions; manage the messaging system and answering services
- Ensure both clinical and non-clinical staff follow standard processes and workflows for documentation and patient care; implement new standardized processes as required
- Review patient satisfaction results monthly and create action plans to maintain and improve patient care
- Manage practice systems and processes to improve patient access, servicing, and financial performance
- Assist physicians in reviewing productivity relative to goals and improving workflow or efficiency
- Ensure complete charge capture, prompt billing, and correction of any diagnosis or CPT coding issues
- Ensure complete collection of cash for patient-responsible charges at time of visit
- Participate in documentation training; analyze and improve systems to promote smooth patient flow and physician efficiency
- Liaison between clinicians, coding, and billing service to ensure accurate claim entry and reimbursement
- Maintain knowledge of HIPAA and Compliance requirements and oversee compliance for the practice
- Manage practice staff, including selection, training, scheduling, performance feedback, and annual evaluations; counsel employees and address conflicts
- Lead efforts to improve quality and performance measurement and improvement
- Oversee patient and medical records; ensure compliance with policies and acceptable medical record keeping practices
- Purchase equipment and materials for day-to-day operations; coordinate building maintenance; prepare pro forma statements as required
- Engage in continuous learning to stay current with best practices in medical practice management
- Prepare administrative and management reports and correspondence; conduct special projects and prepare reports for MACC leadership and senior management
- Oversee daily mail operations as appropriate
- All other duties as assigned
Qualifications
- Bachelor's Degree in Healthcare, Business, related field or equivalent years of experience
- Minimum 3–4 years of supervisory experience in a medical facility
- Master’s Degree preferred
- Experience with current office technology and proficiency with computer office applications (EMR/Health Records, MS Office, etc.)
- Experience with Process Improvement
- Medical terminology
- Strong communication and interpersonal skills
