Qualifications

Responsibilities

  • Organize and coordinate front desk operations and scheduling.
  • Supervise front desk staff activities and workflow.
  • Handle client comments, questions, and concerns.
  • Maintain a neat and orderly front office to reflect agency standards.
  • Report maintenance requests and coordinate with facilities.
  • Coordinate with MIS for support as needed.
  • Manage day-to-day operations of mental health services.
  • Assist with billing documentation and timely reimbursements.
  • Assist with scheduling to optimize staffing.
  • Arrange cases, meetings, and room assignments for providers.
  • Prepare pre-admission documentation for new referrals.
  • Maintain charts, files and administrative records.
  • Conduct audits for quality assurance and accountability.
  • Provide required reports and statistics.

POSITION OVERVIEW

Under supervision of the Program Director, the Practice Manager- Front Desk is responsible for the organization and coordinating of the front desk staff, scheduling, and all functions of the front desk in order to ensure organization effectiveness and efficiency.

Under supervision of the Program Director, the requirements listed below represent the knowledge, skill, and/or ability required. The functions below outline the general responsibilities associated with this position. Each of these functions is considered critical to effective department operations and our Mission. It is expected that all staff in this position will have satisfactory attendance and will perform these functions as assigned in a competent, cooperative, and timely manner. The Job Description will be reviewed periodically for accuracy and/or adjusted according to business necessity.

KEY ESSENTIAL FUNCTIONS

  • Ensures the office runs smoothly working collaboratively and maintaining an upbeat, positive attitude and other administrative activities that support the function of the office as assigned by the Program Director.
  • Supervise the activities, scheduling and flow of all functions of the front desk staff.
  • Handle client comments, questions, concerns, and grievances.
  • Keep front office area neat, clean and orderly in order to maintain the image and standards of the agency and program.
  • Report maintenance requests to the maintenance department as soon as possible and follow up to make sure issues are handled.
  • Connect with MIS for needed support from staff.
  • Coordinates the day to day operations of the mental health services.
  • Provides administrative support of the billing to ensure the input and transmission of all data for proper and timely billing. Also, ensures the completion of all documentation required for timely reimbursements and collections.
  • Assists with scheduling to ensure optimal staffing during facility operation hours.
  • Assists with the scheduling of cases, meeting and conferences and the assignment of rooms for health care providers.
  • Assists and ensure the pre-admission documentation for all new clinical referrals are completed with accuracy.
  • Maintains all charts, files and administrative records.
  • Conducts audits for quality assurance and accountability.
  • Provides necessary reports, records, and statistics as required by the program
  • Orders and maintains all office supplies, forms and equipment.
  • Maintains the mail delivery system.
  • Maintains that the facility stays in compliance with all Federal and State regulatory agencies regulations and guidelines as well as maintain all organization policy and procedures.
  • Performs other related duties as required

REQUIREMENTS

  • 3+ years previous relevant experience in Administrative required.
  • High School Diploma required, BA preferred.
  • Must be team oriented and possess a positive attitude with a willingness to be flexible and helpful.
  • Must be able to multi-task with strong organizational skills.
  • Excellent interpersonal skills and able to communicate both verbally and in written form.
  • Commitment to cultural diversity and sensitivity.
  • Ability to maintain a professional demeanor under pressure, and operate with keen sense of urgency and commitment to quality.
