Highly respected physician-owned dermatology practice located in Gainesville, Florida looking to hire a full-time office manager. Located in a thriving college town with extensive amenities, affordable costs of living (no state income tax), with easy access to multiple major cities including Tampa, Jacksonville, Daytona, and Orlando, sporting and recreational activities, excellent public and private schools, and warm weather year-round. We are seeking a positive, kind, ethical, and meticulous individual with demonstrated leadership skills and strong business, HR, management, and accounting acumen.
Experience and Qualifications:
- Must have a minimum of three years prior experience in an administrative, managerial, or leadership role actively engaged in managing a business, medical practice, and/or medical office, prior dermatology experience is preferred.
- Exhibit strong leadership skills and demonstrates integrity and respect for others.
- Knowledge and experience in HR matters, communication, conflict resolution
- Experience in planning, budgeting, accounting and compliance related paperwork
- Proficiency Microsoft Word, Excel, Publisher, Outlook Quicken and Quick Books and working with EMR, medical practice management software
- General knowledge and upkeep of lab certification and compliance.
- General knowledge and upkeep of billing and coding for commercial insurance and Medicare.
- Ability to ensure patient satisfaction and employee harmony with a positive, take-charge attitude.
- Ability to manage personnel, time, prioritize, organize and appropriately delegate tasks as needed.
- Prior experience working with legal and accounting professionals.
Responsibilities include but are not limited to:
- The hiring and managing of both clinical and non-clinical staff, including termination, if appropriate.
- Oversight of patient and provider scheduling.
- Manage practice finances and maintain appropriate cash flow including:
- Perform daily close
- Pay company bills
- Maintain banking accounts and needs
- Prepare financial reports for external accountants
- Perform payroll tasks
- Oversee and manage employee benefit
- Maintain practice records
- Ensure compliance on all tax obligations
- Prepare budgets and plans
- Provide regular reports on business performance
- Remain current with all regulatory obligations
- Employment law
- OSHA
- HIPPA
- MIPS compliance and reporting
- Tax law and taxation responsibilities
- Ensure current credentialing and licensing of both physicians and mid-level practitioners
- Maintain computer hardware and software along with outside IT professionals
- Schedule maintenance and upgrades as needed.
Assume responsibilities for the basic upkeep and functioning of key practice systems including but not limited to:
- Practice Management and Electronic Medical Record systems
- Security and fire systems
- Telephone and telecommunications systems
- Building and property maintenance
