This position is ideal for someone who understands pediatric healthcare, develops strong teams, and can turn operational challenges into clear processes and measurable improvements.
You will oversee patient intake, scheduling, insurance authorizations, and billing operations while working closely with practice leadership and therapists. We’re looking for someone who anticipates problems, makes sound decisions, and follows through so families receive excellent service and clinicians have the support they need.
Administrative team leadership: Supervise, train, and coach front office and billing staff. Set clear responsibilities and performance expectations, provide regular feedback, and address issues promptly.
Patient intake and access: Ensure inquiries, referrals, paperwork, and insurance requirements move efficiently from first contact to the start of care. Track pending cases and resolve delays.
Scheduling performance: Oversee therapist schedules, waitlists, cancellations, and recurring appointments. Identify opportunities to fill openings, reduce avoidable gaps, and help families attend consistently.
Insurance and authorizations: Ensure benefits are verified, authorization requirements are tracked, and renewals are completed on time to support continuity of care.
Billing and collections: Hold internal billing team accountable for timely claims, denial follow-up, outstanding insurance balances, and patient collections. Investigate recurring problems and coordinate solutions.
Operational reporting: Monitor practical measures such as intake conversion, schedule utilization, attendance, authorization status, aging receivables, and collections. Bring leadership clear findings and recommended actions.
Process improvement: Develop and maintain consistent workflows, document procedures, and ensure staff follow them. Improve handoffs between intake, scheduling, therapists, and billing.
Family experience: Resolve escalated concerns with warmth and professionalism, communicate clearly about administrative and financial matters, and create a welcoming environment.
Practice coordination: Partner with leadership on administrative hiring, coverage, staffing needs, and growth planning. Maintain accurate records and uphold confidentiality and practice policies.
At least 3–5 years of healthcare office or practice operations experience, including direct staff supervision.
Experience in pediatric healthcare, preferably speech therapy, occupational therapy, physical therapy, or a related outpatient setting.
Strong working knowledge of insurance verification, authorizations, medical billing, accounts receivable, and collections.
Experience managing complex or recurring appointment schedules across multiple providers.
A demonstrated ability to improve workflows, resolve operational problems, and hold a team accountable.
Comfort using electronic health records, practice management software, spreadsheets, and operational reports.
Strong judgment, clear communication, and dependable follow-through.
You build a supportive team while setting clear standards. You are comfortable having difficult conversations, investigating why something is falling behind, and making sure it gets resolved. You understand that efficient operations and a thoughtful family experience go hand in hand.
Success in this role means families move smoothly into care, schedules are well managed, authorizations stay current, billing issues receive consistent follow-up, and staff understand their responsibilities.
