Job summary

Arbor Therapy in Phoenix, AZ is seeking a Practice Manager to lead daily operations of a pediatric therapy clinic. You will oversee administrative teams, drive KPI performance, and ensure efficient workflows aligned with company standards.

The role emphasizes staff development, HIPAA compliance, and seamless coordination with the Director of Operations. Bilingual in Spanish preferred; high school diploma required.

Qualifications

• Two years of supervisory experience preferred.
• Healthcare Practice Manager experience preferred.
• Experience with practice-management systems, EHRs, scheduling platforms, HR systems or related apps preferred.
• Proficient in MS Office (Word, Excel, Outlook).
• Reads, writes, understands, and speaks English; Spanish preferred.

Responsibilities

• Tracks KPIs to constantly improve the clinic's performance.
• Audits accuracy of reception, authorizations, scheduling and intake teams.
• Recruitment & development of staff including interviewing, training, coaching, and performance reviews.
• Demonstrate project management skills to complete assigned operational projects in an organized and timely manner.
• Lead teams, manage competing priorities, resolve operational challenges, and improve administrative processes.
• Coordinate clinic staffing and coverage needs and address scheduling gaps and resource constraints.
• Address client and caregiver concerns promptly and professionally.
• Build effective relationships across the organization.
• Completes required compliance training.
• Follow all HIPAA rules and regulations.
• Audit/Manage clinical staff (performance, productivity, scheduling).
• Perform other duties as assigned.

The Practice Manager is responsible for the day-to-day operational leadership, performance, and overall administrative effectiveness of an assigned clinic. This role oversees clinic operations, leads and develops administrative team members, monitors key performance indicators (KPIs), and ensures workflows are efficient, consistent, and aligned with company standards. The Practice Manager identifies operational barriers, implements solutions, and drives accountability and continuous improvement in partnership with the Director of Operations and other departments.

Responsibilities

• Consistently audits for accuracy the work of the reception, authorizations, scheduling and intake teams
• Recruitment & development of staff including interviewing, training, coaching, and performance reviews

• Demonstrated ability to lead teams, manage competing priorities, resolve operational challenges, and improve administrative processes.

Added Experience

• Two years of supervisory experience is preferred
• Prior experience as a healthcare Practice Manager is preferred
• Experience with practice-management systems, electronic health records, scheduling platforms, HR systems, or other business applications preferred
• Knowledgeable in Microsoft Office, specifically Word, Excel & Outlook
• Reads, writes, understands, and speaks English proficiently
• Bilingual in Spanish preferred
• High school diploma or GED
