PA-Foot- is seeking an experienced Medical Practice Manager to oversee daily operations, staff supervision, and billing across a multi-location medical practice. The role requires strong healthcare operations knowledge, HIPAA compliance, and a focus on patient experience and efficiency.

Job description

Position Overview

We are seeking an experienced, organized, and hands-on Medical Practice Manager to oversee the daily operations of a busy medical practice. The ideal candidate will be a strong leader with experience in healthcare operations, staff management, billing and revenue cycle oversight, compliance, scheduling, and patient relations.

This position requires someone who can balance the needs of physicians, employees, and patients while ensuring the practice operates efficiently, professionally, and in accordance with applicable healthcare regulations.

Key Responsibilities
  • Oversee the day-to-day operations of the medical practice and ensure efficient workflow across all locations and departments.
  • Supervise, support, and provide direction to administrative and clinical support staff.
  • Manage employee scheduling, attendance, PTO, coverage, and staffing needs.
  • Participate in recruiting, interviewing, hiring, onboarding, training, performance evaluations, corrective actions, and employee separations.
  • Develop and maintain office policies, procedures, workflows, and staff expectations.
  • Work closely with physicians and leadership to address operational concerns and implement practice improvements.
  • Monitor patient scheduling, office productivity, provider schedules, and patient flow.
  • Address patient complaints and service concerns professionally and promptly.
  • Oversee billing and revenue cycle activities, including accounts receivable, claim denials, collections, patient balances, and payer-related issues.
  • Monitor key financial and operational reports and identify areas requiring improvement.
  • Coordinate with billing staff and outside vendors to ensure claims and outstanding balances are being worked appropriately.
  • Assist with payer enrollment, credentialing, contracting, and insurance-related issues as needed.
  • Maintain compliance with HIPAA, OSHA, Medicare, Medicaid, payer requirements, and other applicable healthcare regulations.
  • Promote a culture focused on patient safety, quality of care, professionalism, accountability, and compliance.
  • Investigate operational or compliance concerns and elevate significant issues to appropriate leadership.
  • Maintain appropriate documentation related to staff, practice operations, policies, and compliance matters.
  • Manage relationships with vendors and outside service providers.
  • Oversee office supplies, equipment, facilities, IT-related needs, and general office operations.
  • Coordinate staff meetings, physician meetings, training, and practice initiatives.
  • Identify opportunities to improve efficiency, reduce unnecessary costs, increase collections, and improve the overall patient experience.
Qualifications
  • Minimum of 3–5 years of medical practice management or healthcare operations experience preferred.
  • Previous supervisory or management experience required.
  • Strong knowledge of medical office operations and healthcare workflows.
  • Experience with medical billing, insurance claims, accounts receivable, denials, and revenue cycle management strongly preferred.
  • Working knowledge of HIPAA and healthcare compliance requirements.
  • Experience with EHR/EMR and practice management systems.
  • Strong leadership and employee-management skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to handle confidential and sensitive information professionally.
  • Strong problem-solving skills and ability to make sound decisions independently.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
Preferred Qualifications
  • Experience managing a multi-provider or multi-location medical practice.
  • Experience with physician scheduling and provider productivity.
  • Knowledge of Medicare, Medicaid, commercial insurance, and managed care.
  • Experience with credentialing and payer enrollment.
  • Experience reviewing A/R, financial, productivity, and practice performance reports.
  • Familiarity with medical coding and billing terminology.
  • Experience implementing policies, workflows, and process improvements.
