Job description

Womble Bond Dickinson (US) LLP is seeking a Practice Group Management Coordinator to join their team in the Southeast. This person would provide administrative, operational, and project coordination support to the Practice Group Management team. This position plays a key role in maintaining efficient workflows, coordinating practice group activities, managing reporting and tracking processes, supporting recruiting and practice integration efforts, and ensuring timely follow-through on initiatives across multiple practice groups. They will also serve as a resource for identifying, testing, and implementing artificial intelligence (AI) and automation solutions that improve efficiency, reduce administrative burden, enhance data management, and streamline operational processes. This position will work closely with the Senior Director, Practice Group Management and the Practice Group Managers as well as business services teams to identify opportunities for continuous improvement through technology and AI driven tools.

Responsibilities
Administrative & Operational Support
  • Provide administrative support to the Practice Group Management team.
  • Maintain practice group records, documents, trackers, templates, and operational resources.
  • Coordinate recurring administrative processes and ensure deadlines are met.
  • Manage distribution lists, shared resources, and collaboration sites.
  • Support communication efforts between Practice Group Management, attorneys, paralegals, and administrative teams.
  • Assist with invoice tracking, expense coordination, and related administrative functions.
Reporting & Data Management
  • Gather, organize, validate, and maintain practice group data for the Practice Group PGL Hub.
  • Maintain workload, utilization, recruiting, integration, staffing, training, financial, and project tracking tools.
  • Assist in developing standardized reporting/analysis processes and documentation.
Meeting & Project Coordination
  • Coordinate internal practice group and practice team meetings, training sessions, and other practice group events.
  • Develop agendas, presentation materials and supporting documentation for practice group meetings, team meetings and practice group management meetings. Coordinate with all speakers/presenters as necessary.
  • Provide follow-up summaries for all meetings (utilizing AI) along with task list and monitor progress and communicate upcoming deliverables to Practice Group Management leadership team.
  • Maintain project plans, timelines, status reports, and action item trackers for all practice management projects.
AI & Process Improvement
  • Partner with Practice Group Managers to identify repetitive administrative tasks and workflow bottlenecks.
  • Along with PM Project Manager, research, test and implement AI-enabled solutions to improve efficiency and accuracy.
  • Utilize Microsoft Copilot and other approved AI technologies to streamline reporting, document creation, meeting preparation, meeting recap generation, and data analysis.
  • Develop standardized prompts, templates, and best practices that can be used consistently across the Practice Management team.
  • Assist in documenting AI use cases, process improvements, and measured efficiency.
  • Track AI adoption metrics and identify additional opportunities for automation and continuous process and workflow improvement.
  • Collaborate with IT, Innovation, Knowledge Management and other Administrative Departments as needed regarding Practice Group/WBD Advance AI initiatives and approved technology solutions.
Requirements
  • Associate or bachelor’s degree preferred.
  • 2-5 years of experience in administrative, project coordination, operations, legal support, professional services, or related roles preferably in a law firm.
  • Ability to work independently as well as part of a team, and provide excellent customer service.
  • Experience working with Microsoft 365 applications/collaboration tools and the aptitude to learn new software quickly.
  • Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and Copilot.
  • Demonstrated interest in process improvement, automation, or emerging technologies.
  • Exceptionally strong written and oral communication skills.
  • Self-motivated ability to build and maintain trust and confidentiality on sensitive issues.
  • Ability to set priorities, manage multiple tasks and deadlines and work across multiple teams and offices.
  • Organizational skills, attention to detail and the ability to exercise sound judgement are important capabilities for candidates considering this position.
