Job Description
Our client is looking for a proactive Practice Assistant to provide day-to-day administrative support within a fast-paced legal environment. The ideal candidate is organized, dependable, and comfortable balancing multiple priorities while handling confidential information with discretion. This role is well suited for someone who takes pride in producing accurate, polished work and providing responsive support to a professional team.
Key Responsibilities
- Prepare, format, edit, and proofread legal documents, correspondence, presentations, spreadsheets, and other materials.
- Utilize Microsoft Office and document management tools to produce professional, accurate documents.
- Coordinate attorney calendars, meetings, conference calls, and other scheduling needs.
- Arrange travel and assist with expense reporting and reimbursement processes.
- Maintain accurate attorney timekeeping and submit information within required deadlines.
- Respond to phone calls and other communications in a professional and timely manner.
- Provide administrative support to attorneys while anticipating needs and keeping daily workflows organized.
- Partner with other administrative team members to help meet deadlines and manage periods of increased workload.
- Maintain electronic and paper files while following confidentiality and document retention procedures.
- Handle sensitive client, attorney, and organizational information with professionalism and discretion.
- Manage multiple assignments simultaneously and adjust priorities as deadlines and business needs change.
Qualifications
- Bachelor's degree or equivalent combination of education and relevant experience.
- 5+ years of legal secretarial, legal administrative, executive administrative, or related professional support experience.
- Previous experience in a law firm or professional services environment strongly preferred.
- Advanced Microsoft Word skills, including document formatting and use of Styles.
- Working knowledge of Adobe Acrobat; experience with Excel and PowerPoint preferred.
- Excellent proofreading skills and strong attention to detail.
- Ability to independently manage competing priorities and time-sensitive assignments.
- Strong written and verbal communication skills.
- Professional, service-oriented approach with the ability to work effectively with individuals at all levels.
- Ability to maintain confidentiality and exercise sound judgment.
- Dependable, adaptable, and comfortable working in a fast-paced environment.
- Willingness to work overtime when business needs require.
