Job summary

Southern Indiana ENT is seeking a Practice Administrator to oversee day-to-day operations across multiple clinic sites in Indiana. You will supervise non-clinical staff, work with physicians on clinical oversight, and report to Medical Director and corporate leadership.

The role focuses on ensuring timely patient care, compliance with OSHA/CLIA, and effective revenue/expense management within the annual budget. Travel to clinics is required.

Qualifications

  • College degree with five years related experience and/or training or equivalent combination of education and experience with a high focus on customer service, medical practice management, insurance plans, and healthcare background.
  • Healthcare Management experience.
  • 2+ years of Communications or Marketing experience, specifically within healthcare
  • Proficient in MS Office including Excel, Word, Outlook and PowerPoint.

Responsibilities

  • Ensures patients are treated timely, courteous, and professional.
  • Promotes high standards of telephone and in-person patient conversations.
  • Acts as a resource to physicians regarding operational aspects of the group.
  • Coordinates clinical services to ensure physicians have resources for optimal patient care.
  • Ensures OSHA and CLIA compliance with current safety and infection control plans.
  • Maintains adequate staffing and develops/updates job descriptions.
  • Evaluates personnel performance with corporate/physician leadership.
  • Monitors compliance with local, state, and federal guidelines.
  • Facilitates staff development and team-building.
  • Manages continuing education and compliance for all team members.
  • Oversees credentialing activities for physicians with third-party payers.
  • Supports billing to ensure documentation supports timely filing of clean claims.
  • Manages revenue and expenses against annual budget and communicates variances.
  • Participates in annual operating and capital budget development.
  • Manages facilities to comply with codes and support positive patient experience.
  • Ensures clinical equipment is maintained and functional.
  • Supervises risk management and HIPAA compliance.
  • Establishes efficient patient flow processes.
  • Travel to all clinic locations periodically.
  • Acts as liaison to corporate management.

Job description

As the Practice Administrator, you will be responsible for managing the day-to-day operations for the multi-site healthcare practice, including but not limited to supervising personnel, developing, and enforcing policies and procedures and ensuring optimal patient care. Additionally, the Practice Administrator will support the physicians with clinical oversight. This role will report to the Medical Director and Corporate leadership.

PRIMARY RESPONSIBILITIES
  • Ensures that all patients are treated in a timely, courteous, and professional manner.
  • Promotes and manages a consistently high standard of telephone and one-on-one conversations with patients.
  • Acts as a resource to physicians regarding operational aspects of the group.
  • Coordinates all clinical services, specifically to:
    • Ensures all physicians have the necessary resources to provide optimal patient care.
    • Ensures that the practice complies with OSHA and CLIA regulations and that there are current safety and infection control plans in force.
  • Maintains adequate levels of staffing for the practice and develops and updates job descriptions.
  • Evaluates performance continually and at established intervals at the direction and in conjunction with the corporate team and physician leadership for personnel.
  • Monitors that personnel practices comply with local, state and federal guidelines.
  • Facilitates staff development and team building.
  • Manages continuing education and compliance requirements for all team members.
  • Facilitates new and re-credentialing activities for the physicians with third party payers and health care entities.
  • Supports the practice billing function to ensure that provider documentation is timely and complete to support timely filing of clean claims.
  • Manages practice revenue and expense according to annual operating and capital budget, and keeps management informed of variances.
  • Participates in the development of the annual operating and capital budget for the practice.
  • Manages the facilities to ensure that they comply with codes/regulations and that they are conducive to a positive patient experience.
  • Ensures that all clinical equipment is operational and kept in a good state of repair with regular preventive maintenance.
  • Supervises the risk management processes to minimize risk.Ensures that HIPAA policies are always followed.
  • Establishes and monitors effective & efficient patient flow processes.
  • Travel to all clinic locations periodically is required.
  • Acts as practice liaison to the corporate management team.
REQUIRED QUALIFICATIONS
  • College degree with five years related experience and/or training or equivalent combination of education and experience with a high focus on customer service, medical practice management, insurance plans, and healthcare background.
  • Healthcare Management experience.
  • 2+ years of Communications or Marketing experience, specifically within healthcare
  • Proficient in MS Office including Excel, Word, Outlook and PowerPoint.
SUPERVISORY RESPONSIBILITY

This position has direct supervisory responsibility over all non-clinical staff and indirect supervisory responsibility over clinical staff.

CERTIFICATES, LICENSES, REGISTRATIONS
  • Certified Physician Practice Manager (CPPM) and/or American Academy of Professional Coders (AAPC) preferred.
  • All employees are required to provide proof of vaccination or exemption.
