The ideal candidate has 4+ years in executive support and project management, agency or new business experience, and strong calendar, CRM, and written-communication skills. Discretion is essential.

Qualifications

• 4+ years of executive support and project management experience.
• Experience with new business, proposals or agency work is a plus.
• Ability to manage tracking processes and keep leaders on schedule.
• Strong organizational and prioritization skills.
• Professional written communication with senior executives and clients.
• Experience scheduling across multiple calendars.
• Comfort with spreadsheets and CRM tools.
• Discretion with confidential information.

Responsibilities

• Own end-to-end new business process from outreach to proposal submission.
• Track outreach emails and ensure timely follow-ups.
• Maintain a current tracker of proposals, deadlines and owners.
• Ensure on-time submission and flag risks.
• Coordinate first calls and prep executives.
• Provide weekly leadership reports on activity and capacity.
• Keep contacts, proposals, and notes organized.
