Job summary

Ziegler CAT is seeking a Service Call Administrator to manage and close service calls for the Power Systems branch in Minnesota. The role supports service invoicing, PO creation, and reporting, while collaborating with the Service Team to troubleshoot WIP and warranty issues.

Candidates should have 1–3 years of relevant experience and strong Microsoft Office skills. With a focus on customer service and accuracy, this full-time position offers benefits and growth within a well-established CAT

Qualifications

• High School Diploma or GED required; Associate or Bachelor's degree preferred.
• 1–3 years of customer service, administrative support, account coordination, or related experience.
• Proficiency with Microsoft Office applications (Word, Excel, Outlook).
• Experience with Microsoft Dynamics 365 (D365) helpful.
• Strong organizational skills with attention to detail.
• Excellent written, verbal, and interpersonal communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong problem-solving skills and a customer-focused mindset.
• Ability to work independently and as part of a team.
• Knowledge of heavy equipment, power generation, or related industries a plus.

Responsibilities

• Open Scheduled Services for Preventative Maintenance.
• Close and invoice service calls.
• Create POs for parts, supplies, or services.
• Generate and edit reports to maintain service records.
• Collaborate with Service Team to troubleshoot and maintain WIP.
• Work with warranty on WIP/service calls.
• Work with AP/AR on PO disputes or reimbursements.
• Monitor administrative quality of repairs.
• Follow-up on outstanding payments to vendors.
• Seek answers to warranty questions.
• Work with Sales to collect missing customer information.
• Demonstrate professionalism and customer satisfaction; support a safe work environment.
• Perform additional duties as assigned.
