Post Award Grants Analyst

Job Summary
The Post Award Grants Analyst works in the University Corporation’s Accounting department and serves under the Post Award Manager to provide guidance and oversight on fiscal, administrative, and regulatory management of grants and contracts from award acceptance through closeout.
Key Responsibilities
- Participate in award set‑up meetings with program administrators and the Sponsored Programs Office to understand award criteria and requirements, discuss budget, cash balances, sub‑awards, and invoice requirements, and provide necessary forms and training; ensure awards are properly set up in the Common Financial System (CFS).
- Reconcile the financial activity of grants and contracts and prepare monthly financial reports, budget adjustments, and invoices for program administrators and funding sponsors.
- Analyze sponsor award documents to maintain compliance with fiscal management and reporting specifications.
- Ensure direct costs charged to grants and contracts are allowable and allocable under funder guidelines, federal, state, and University Corporation grant management guidelines.
- Interpret reports and prepare queries generated from the Common Financial System (CFS) for internal departments and external stakeholders upon request.
- Prepare for and participate in grant set‑up and orientation meetings, funding sponsor workshops, and other internal and external trainings and conferences to educate investigators and administrative staff about Corporation policies, forms, and procedures.
- Investigate and resolve financial errors and discrepancies, and alert the appropriate Post Award Accountant or Accounting division staff to make necessary corrections.
- Regularly review availability of funds, monitor payroll reports for grant allowability and accuracy, and review planned and incurred expenses (e.g., ProCards, check requests, travel expense claims, purchase requisitions).
- Assist with funding agencies and internal/external audits of grants and contracts.
- Serve as back‑up to the Grants Accountant as needed.
Qualifications
- Minimum: Associate’s degree or equivalent from an accredited institution (preferably in Accounting, Business Administration, or a closely related field) and 2 years of progressively responsible professional accounting experience; OR a combination of education and experience that provides the required knowledge and abilities; a Bachelor’s degree within a related field may substitute for up to 1 year of the required experience.
- Preferred: Bachelor’s degree (preferably), experience using PeopleSoft and Google Apps for Business, knowledge of federal/state grants and contract regulations, ability to manage a deadline‑oriented environment, strong communication skills (verbal and written), and demonstrated commitment to the CSUMB Vision Statement and core values (mutual respect, collaboration, service orientation, multiculturalism, diversity, community service, institutional excellence).
Special Conditions of Employment
Sensitive position involving authority to commit financial resources over $10,000, access to controlled or hazardous substances, detailed personally identifiable information, and responsibilities related to FERPA and Clery Act compliance. Must be willing to work occasional evenings and/or weekends, be a mandated reporter under the California Child Abuse and Neglect Reporting Act, and pass a background check. Employment is contingent upon successful completion of a background check in accordance with the California Fair Chance Act.
