Job summary

The Getty Research Institute (GRI) seeks a dynamic and experienced Portfolio Project Manager to establish project management processes within the Administration Division. Reporting to the Associate Director of Administration, the PPM will coordinate PMs across the GRI and with external partners to build cohesive PM policies, reporting, schedules, and resource management.

Qualifications

  • Bachelor's degree in a related field.
  • 8–10 years PM experience with teams of PMs.
  • PMP or related certification required.

Responsibilities

  • Directs and oversees the strategy and implementation of GRI projects with a consistent PM approach.
  • Leads and mentors a small team of project managers; provides PM guidance.
  • Oversees a wide range of GRI projects for visibility and alignment.
  • Develops detailed portfolio reports for senior management and stakeholders.
  • Develops criteria for evaluating programs and proposals.
  • Collaborates to develop budgets, schedules, and resource plans.
  • Implements plans to communicate project methodology to groups.
  • Reviews proposals and guides through governance processes.
  • Monitors costs to ensure on-budget delivery within timelines.
  • Manages project quality and adherence to contracts/specifications.
  • Identifies risks and develops mitigation strategies.
  • Creates documentation to capture changes to project plans.
  • Plans, assigns, and initiates complex enterprise projects.

The Getty Research Institute (GRI) is seeking a dynamic and experienced professional Portfolio Project Manager (PPM) to establish project management processes within the GRI\'s Administration Division. Reporting to the Associate Director of Administration, the PPM will coordinate project managers across the GRI and with external partners to build a cohesive methodology and approach to project management policies and procedures, communications, resource efficiency, and consistent practices including software, reporting, schedules and timelines, and resource management. The PPM will serve as a team manager as well as managing their own project work as needed. Working closely with the GRI\'s senior leadership, the PPM will ensure all GRI projects align with our goals and mission, delivering impact within budget and established timeframes.

Major Job Responsibilities
  • Directs and oversees the strategy and implementation of GRI projects, ensuring a consistent approach to project management across the portfolio using defined professional methodologies.
  • Leads and mentors a small team of project managers, fostering a culture of high performance and professionalism; provides project management guidance within GRI.
  • Oversees a wide range of GRI projects to ensure visibility and alignment with scope and objectives.
  • Develops and delivers detailed portfolio reports, tracking progress, resource allocation, and project outcomes for GRI senior management, stakeholders, and Senior Budget Analyst.
  • Develops criteria for evaluating programs, proposals, benefits, required specializations, and other pertinent information related to project assignments.
  • Collaborates with project managers and sponsors to develop budgets, schedules, work plans, resource requirements, cost estimates, projections, and status reports.
  • Develops and implements plans to communicate and explain project methodology and processes to interested groups and team members.
  • Reviews and recommends proposals and bids to management and guides proposals through governance processes.
  • Oversees monitoring and management of project costs to ensure completion within budget and established timelines.
  • Monitors and manages project quality to ensure deliverables meet contract terms or specifications.
  • Works with project managers and sponsors to identify risks and develop mitigation strategies.
  • Creates documentation procedures to capture changes in original project plans.
  • Plans, supervises, and assigns projects to project managers according to capacity and expertise; initiates complex or enterprise-level projects, secures authorization, and demonstrates business need and feasibility.
Qualifications
  • Bachelor\'s degree in a related field
  • 8-10 years of experience as a project manager, with at least 2 years of proven work history managing teams of project managers
  • Project Management Professional (PMP) or other project management framework certification required; certification in related processes
  • Experience working within the arts, cultural heritage, academic, or non-profit sectors is highly desirable
Knowledge, Skills and Abilities
  • Demonstrated ability to lead teams and manage a large project portfolio with significant budget oversight
  • Experience managing major systems and facilities implementation projects
  • Experience delegating and overseeing assignments to ensure timely completion and cooperation across units
  • Ability to work in partnership with others and foster mutual working relationships with peers and staff
  • Negotiation and facilitation skills; report preparation and presentations; effective communication; data management and assessment skills; and ability to plan and supervise the work of others
  • Strategic and creative thinking; ability to anticipate technology trends; sound judgment in decision-making; and ability to translate complex information into cogent plans
  • Extensive knowledge of project management fundamentals, including waterfall and agile methodologies and tools
  • Excellent communication and stakeholder management skills; adept at engaging diverse teams and senior executives
  • Ability to juggle multiple priorities in a dynamic environment
  • Ability to motivate team members toward mission-driven goals
  • Proficiency with project management software and tools (e.g., Workfront, Jira)
  • Highly organized and detail-oriented
  • Willingness and ability to travel
