Associa Community Group is hiring a Portfolio Community Manger for its corporate office in Newport News, VA.
The Portfolio Community Manager provides support to onsite staff and oversees all administrative, maintenance, and capital projects for multiple HOA and condominium communities assigned to the portfolio.
Daily responsibilities:
- Onsite role at the corporate office in Newport News.
- Work hours are 8am-5pm. Occasional nights and weekend due to board meetings and community events.
- Research and respond to inquiries by phone and email.
- Enter and update data and community and homeowner information in the database.
- Assist homeowners with monthly payments and completing architectural review forms. Follow-up with homeowners on the Board’s decision.
- Record and track documents and information.
- Issues violation letters to homeowners and follow-up to ensure remedied.
- Create and send out mass communication by mail and email notifying homeowners of HOA guidelines, maintenance projects, and community events.
- Source vendors, submit RFPs, manage the bidding and vendor selection process, develop vendor relationships, and manage capital projects.
- Prioritize maintenance requests and work orders; schedule and coordinate maintenance vendors and contractors onsite for repairs.
- Prepare board packets and agendas. Coordinate and schedule monthly, quarterly, and annual board meetings.
- Create and manage budgets; review financial reports, interpret Balance Sheet, Income Statement, Operating Expenses, and Reserve Studies.
- Travel to assigned community sites to conduct site visits and inspections.
- Meet and collaborate with onsite staff, homeowners, residents, members of the Board of Directors, maintenance vendors and contractors.
- Walk and inspect property, ensure property is well maintained and HOA Code, Compliance, Rules & Regulations are adhered.
- Implement Board policy and directives within the scope of the management agreement. Works with the board on strategic initiatives, policy governance and association projects.
- Hire, train, and develop staff.
- Other projects as assigned.
Requirements
- High school diploma or GED equivalent is required.
- 2+ years of experience in community association, single-family, multifamily, apartment management, leasing, or vacation rental.
- Understanding of the relationships among the Board of Directors, Community Manager, and homeowners.
- Willingness to obtain CMCA with first year of employment, company paid.
- Customer service driven and team oriented.
- Ability to read and interpret financials, Balance Sheet, Income Statement, Operating Expenses, Reserves, Delinquency Reports, Variance Analysis.
- Effective project management skills; ability to prioritize and manage multiple projects in various stages of completion and communicate with all parties involved.
- Excellent communication skills (written and spoken) and conflict resolution techniques.
