Job description

Important Information:This is a 12-month limited-term appointment with the possibility of becoming permanent.

The California Department of Justice seeks to hire a Senior Legal Technician (Legal Secretary) to join a "POD" of legal support personnel to support attorneys in the "Antitrust Section". Supervised by the POD Legal Support Manager (Supervisor I), the Senior Legal Technician is expected to perform complex secretarial duties for a group of attorneys assigned to a particular POD. The Senior Legal Technician should have experience with programs and software—including word processing, document assembly, case management, and electronic filing systems—to draft, format, edit, file, and process legal documents. Key responsibilities include verifying legal citations, composing correspondence, managing mail, maintaining case databases, and tracking court calendars and due dates. Additionally, the role entails fielding calls from the public, contacting court personnel and opposing parties, communicating with vendors, managing documents in ProLaw, making travel arrangements, and performing other secretarial tasks.

Desirable Qualifications

In addition to evaluating each candidate's relative ability, as demonstrated by quality and breadth of experience, the following factors will provide the basis for competitively evaluating each candidate:

  • Experience working in a legal office as a legal secretary (state DOJ a plus).
  • Knowledge of state and federal rules regarding court filings and service of legal documents. Civil litigation experience.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, Teams, PowerPoint, and SharePoint); Prolaw. Processing invoices for review and approval for payment by responsible attorneys.
  • Demonstrated ability to work cooperatively and tactfully with all levels of staff, and ability to use tact and discretion in dealing with confidential and sensitive matters.
  • Excellent organizational skills.
  • Knowledge and experience with supporting attorneys in the Antitrust Section.
  • Experience with large, complex cases, including coordination with dozens of attorneys on both sides, handling voluminous pleadings and correspondence, and scheduling and tracking depositions is desirable.
