Job summary

Thomas & Company is seeking a POA Authorizations Specialist to manage power of attorney authorizations for client accounts in Kentucky. You will coordinate with clients, internal teams, and state agencies to ensure accurate setup and timely approvals.

The role emphasizes attention to detail, effective communication, and the ability to work across departments to maintain compliant authorization records and support successful client onboarding.

Qualifications

  • High school diploma or equivalent is required.
  • One or more years of administrative, documentation processing, account setup, or related experience preferred.
  • Experience managing documentation, tracking activities, or processing workflows is a plus.
  • Proficiency in Microsoft Office, including Outlook and Excel, is required.

Responsibilities

  • Prepare power of attorney (POA) forms for client review and signature.
  • Monitor authorization status and follow up with clients to support timely completion.
  • Submit completed authorization documents to state agencies and track them through approval.
  • Maintain accurate authorization documentation and update applicable internal systems.
  • Coordinate with state unemployment agencies to confirm and follow current authorization requirements.
  • Secure electronic authorizations and retain required supporting documentation.
  • Assist with client onboarding by verifying accounts are properly established in state systems, including SIDES enrollment requirements.
  • Respond to client questions regarding forms, processes, and documentation requirements.
  • Collaborate with UI Tax Analysts and other internal teams to resolve authorization-related issues.
  • Generate and review reports to identify outstanding authorizations and delays.
  • Support process changes, system updates, and initiatives related to client account authorizations.

The Position:

The POA Authorizations Specialist is responsible for obtaining, submitting, tracking, and maintaining power of attorney authorizations for client accounts. This position coordinates with clients, internal teams, and state agencies to support accurate account setup, timely authorization approval, compliance with state requirements, and successful client onboarding.

  • Support process changes, system updates, and initiatives related to client account authorizations
  • Assist with special projects and perform other duties as assigned
Required Qualifications
  • High school diploma or equivalent
  • One or more years of administrative, documentation processing, account setup, or related experience
  • Experience managing documentation, tracking activities, or processing workflows
  • Proficiency in Microsoft Office, including Outlook and Excel
  • Equivalent combination of education and relevant experience may be considered
