POSITION SUMMARY

The PMO Project Coordinator supports the day-to-day operation of a structured Project Management Office (PMO) within an automotive manufacturing environment. The role coordinates project governance, reporting, stakeholder communication, risk and open-point management, and development-to-production handover activities. Working closely with the Senior Project Manager / PMO Lead, project owners, development teams and production stakeholders, the coordinator ensures project information is complete, transparent, current and actively followed through closure. Work model: Hybrid, approximately 70% on-site and 30% remote. The position is expected to maintain a strong on-site presence to support project teams, facilitate cross-functional alignment and ensure timely follow-up of project topics. The role supports multiple projects and interfaces, including projects transitioning from development organizations into production.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Operate and maintain the PMO processes, tools, templates and governance routines established by the Senior Project Manager / PMO Lead.
  • Coordinate development-to-production handover activities and verify that required project information, responsibilities, risks, open topics, deliverables and readiness criteria are identified and transparent before handover.
  • Create and maintain stakeholder registers for assigned projects, including stakeholder roles, communication needs, decision interfaces and escalation paths.
  • Create, maintain and actively follow project risk and issue registers. Ensure risks include clear ownership, mitigation actions, target dates and escalation when required.
  • Create and maintain Lists of Open Points (LOPs), action registers and decision logs. Proactively follow up with action owners, challenge overdue items and elevate critical or unresolved topics.
  • Coordinate the project communication management process, including recurring meeting structures, agendas, minutes, action tracking, information distribution and documented follow-up between development and production teams.
  • Prepare and maintain operational and management-level project reporting, including project status, milestones, risks, open points, handover readiness, critical deviations and decision requirements.
  • Consolidate project information from cross-functional stakeholders and verify data quality, completeness and consistency before reporting or escalation.
  • Track project milestones, dependencies, due dates and handover deliverables. Identify schedule deviations or missing inputs early and coordinate corrective follow-up with responsible stakeholders.
  • Maintain organized project documentation and PMO records to support traceability, transparency, lessons learned and repeatable project governance across the project portfolio.
  • Support continuous improvement of PMO processes, templates, reporting methods and handover standards based on project feedback, lessons learned and recurring execution gaps.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
  • Bachelor's degree in engineering, business, project management or a related field; equivalent relevant professional experience may be considered.
  • At least 3 years of experience in project coordination, PMO support, project management, industrialization, manufacturing project support or a closely related role.
  • Demonstrated experience maintaining project trackers, action lists, risk registers, stakeholder information, meeting documentation and status reporting.
  • Strong organizational skills with the ability to manage multiple projects, priorities, deadlines and stakeholders simultaneously while maintaining accurate documentation.
  • Strong working knowledge of Microsoft Excel and PowerPoint, with the ability to consolidate project data and create clear operational and management-level reports.
  • Ability to communicate clearly and professionally in English with cross-functional and international stakeholders at both operational and management levels.
  • Ability to work proactively and independently, follow up persistently with action owners, identify missing information and elevate risks or delays in a timely manner.
  • Ability to work in a hybrid model with approximately 70% on-site presence and adapt to changing project priorities in a manufacturing environment.
  • Preferred experience: automotive manufacturing, new product launch, industrialization, project handover, production readiness, supplier/OEM project environments, or implementation of PMO governance processes.
KEY COMPETENCIES
  • Proactive follow-up, ownership and accountability.
  • Structured thinking, attention to detail and documentation discipline.
  • Clear communication, stakeholder coordination and timely escalation.
  • Ability to create transparency, prioritize critical topics and maintain momentum across multiple projects.
