Mia Aesthetics is seeking an In-Clinic Surgical Coordinator to greet patients, prep for consultations, and support the surgical process from intake to booking. You will interact with patients in English and Spanish, manage scheduling, and assist with financing and paperwork as needed.

Qualifications

• High School Diploma or GED is required.
• Bilingual in English and Spanish is required for patient interactions.

Responsibilities

• Greet the patient in the lobby and invite them to the consultation room.
• Provide the patient with instructions on prepping for the assessment.
• Debrief the doctor on patient medical history and important notes.
• Take notes as the doctor assesses the patient for their procedure of interest.
• Discuss pricing with the patient and educate on next steps for booking.
• Walk the patient out and return to restock the consult room as needed.
• Interact with prospective patients to schedule in-clinic or virtual consultations.
• Close sales by building rapport and overcoming objections.
• Create invoices and ensure medical forms in the portal are signed and uploaded.
• Communicate with prospective patients via text, email, or phone.
• Focus on achieving daily conversation targets while ensuring quality engagements.
• Assist with intake, scheduling surgeries, and related administrative tasks.

The In-Clinic Surgical Coordinator will be responsible for the following job responsibilities:

• Greet the patient in the lobby & invite them to the consultation room
• Provide the patient with instructions on prepping for the assessment
• Debrief the doctor on patient medical history & important notes (for consults with Doctor)
• Take notes as the doctor assesses the patient for their procedure of interest
• Return to the room & invite the patient to an office to discuss pricing (educate the patient on next steps, i.e., paying a booking fee/ reserve a surgery date
• Walk the patient out to the lobby, thanking them for their visit
• Return to the consult room to properly clean & restock (as needed)
• Interact with prospective patients in an effort to schedule them for in-clinic or virtual consultations
• Close sales (collect 10% booking fee) by building rapport with potential clients and overcome objections
• Create invoices and ensure the patient's medical form in the patient's portal has been signed, completed, and uploaded before the end of the pay-period
• Communicate with prospective patients via text, email or over the phone
• Focus on quantity: reach a target number of conversations on a daily basis
• Focus on quality: have meaningful conversations with prospective patients and book them for consultations/ surgery
• Answer warm calls from our CSS team
• Assist with the intake of patients and schedule surgeries as needed
• Assist in any administrative sales tasks as needed (i.e., patient financing, pre- and post-procedure forms, etc.)
• Assist in consultations (virtual or in-clinic) as needed or instructed
• Educate patients on the procedures, what it entails, what labs/clearances are required based on their age and medical history, etc.
• Explain the process of booking to each patient and what to expect after booking since there are multiple departments working together

Education & Experience

• High School Diploma or GED
• Bilingual in English and Spanish
