A Physical Records Clerk manages, organizes, retrieves physical client files, documents, and case materials to ensure compliance with retention policies and attorney needs. This is a non-exempt position.
Responsibilities
- Handle daily clerical tasks including answering phones, managing general office files, and scheduling meetings.
- Create, organize, update, close, and destroy physical case files according to Firm retention policies.
- Retrieve documents and files for legal staff and attorneys both within the Firm and at off-site location.
- Monitor file movement, update records management software with accurate tracking, and prepare files for off-site storage or destruction.
- Maintain absolute confidentiality and discretion regarding sensitive Firm and client matters.
- Transport files to and from off-site using personal vehicle and accurately track mileage for reimbursement.
- Ability to multitask and handle shifting priorities in a fast-paced and time-sensitive environment, work independently, and perform other duties as assigned.
Qualifications and Experience
- Prior experience working in a law Firm, data entry and/or records management.
- Strong organizational skills with the ability, attention to detail, ability to follow directions, and the capacity to meet deadlines.
- Reliable vehicle for transporting files to and from off-site storage.Provide proof of insurance along with a valid driver’s license (no suspension or limited use restrictions).
- Ability to stand, reach, and lift at least 20–30 lbs (bankers boxes) regularly.
- Proficiency with Microsoft Office (Word, PowerPoint, Excel), Imanage (or similar database platform), File Bridge, and 3E (or similar time entry software).
- Proven ability to exercise good judgment, manage interactions with clients, attorneys, and staff courteously, and maintain a professional appearance with regular, on-time attendance.
