Job Overview:

As the Personal/Executive Assistant to the Co-CEOs, you will be the essential support to both of our executives — ensuring that they’re always ready, fully equipped, and focused on what matters most. You’ll be anticipating needs and making sure that the Co-CEOs are prepared for everything, from appointments to travel and presentations. You’ll be hands-on with all the logistics and small details, ensuring that every meeting, event, and trip goes off without a hitch.

This is a hybrid position based in Los Angeles. You will need to be on-site when the Co-CEOs are in the office, as well as available for occasional in-person meetings and local events. There may be opportunity for international travel.

Key Responsibilities:

  • Calendar and Appointment Management: Own the Co-CEOs’ schedules, ensuring that meetings are prioritized, travel is organized, and there’s always time for strategic work.
  • Meeting and Presentation Preparation: Ensure that the Co-CEOs have everything they need for appointments, including presentation materials, context, and follow-ups.
  • Travel Logistics: Manage travel details — from flights and hotels to ensuring the Co-CEOs are well-rested, fed, and fully prepared for each trip. You will travel with them as needed, including international trips lasting up to a week.
  • Personal Support: Handle personal requests and ensure the Co-CEOs have the support they need for smooth daily operations — whether it’s making sure their car has gas, or they have snacks for a long flight. (Note: must love dogs!)
  • Communication and Coordination: Be a bridge between the Co-CEOs and the on-shore and off-shore team, anticipating needs and proactively handling tasks before being asked.
  • Event & Meeting Coordination: Provide hands-on support during events, ensuring the Co-CEOs are prepared and comfortable, with attention to every detail, such as food, water, and supplies.
  • Sensitive Information Handling: Handle all communications and materials with discretion and professionalism, ensuring confidentiality at all times.

Minimum Experience and Qualifications:

  • Experience: 5+ years of experience in an executive assistant, personal assistant, or high-level administrative role, with an emphasis on nurturing, hands-on support.
  • Strong anticipation skills: Ability to foresee needs and address them without being asked — from scheduling adjustments to personal requirements.
  • Detail-oriented: A focus on the small details that make all the difference, ensuring the Co-CEOs are always well-prepared and supported.
  • Excellent communication skills: Clear and concise written and verbal communication, able to convey information effectively to both the Co-CEOs and the team.
  • Proven ability to manage schedules and logistics: Experience in juggling multiple schedules, and ensuring the Co-CEOs have everything they need at the right time.
  • Flexibility and a calm demeanor: Ability to stay composed in high-pressure situations and keep everything running smoothly.
  • Ability to travel: Willingness to accompany the Co-CEOs on both domestic and international trips, assisting with all logistics and ensuring their needs are met while traveling.
  • Based in Los Angeles: Must be located within commuting distance of Hollywood, with flexibility to be on-site whenever the Co-CEOs are in the office.

Preferred Experience:

  • Experience supporting multiple executives in a personal assistant or similar role.
  • Exposure to investor relations or strategic communications, especially in a fast-paced, high-pressure environment.
  • Startup or founder-facing experience: You’re familiar with the fast-paced, unpredictable world of startups.
  • A sense of humor and a steady hand — keeping things running smoothly while remaining upbeat.

You will play an essential role in supporting two ambitious Co-CEOs, ensuring their day-to-day is seamless and that their priorities are always clear. You'll have a close connection with the leadership team, with an opportunity to shape the rhythm of the company and contribute to its success. This role is for someone who thrives on providing nurturing, proactive support, ensuring that every detail is managed, and nothing is overlooked.
