Qualifications

  • Proficient with executive calendar tools, travel booking, expense tracking software, and docs management.
  • Willingness to travel domestically/internationally and provide off-hours support.

Responsibilities

  • Serve as the executive's primary gatekeeper and time-manager; manage calendar, vet access requests, resolve conflicts.
  • Prepare meetings: attendees research, agendas, notes, and track deliverables.
  • Create 1-page executive briefs from long proposals and market updates.
  • Track corporate deliverables, maintain records, filings, and board resolutions.
  • Plan strategic events, retreats, and quarterly leadership sessions.
  • Coordinate domestic and international travel, visas, and itineraries.
  • Plan client events, firm dinners, and partner gatherings.
  • Coordinate personal logistics: family travel, appointments, reservations, and concierge needs.
  • Oversee household operations: staff, vendors, and property management.

Job description

We are seeking a highly proactive, detail-oriented, and resourceful Executive & Personal Assistant (EAPA) to support the Principal across both high-level professional operations and complex personal/household logistics. This dual-role position functions as the executive’s primary gatekeeper, strategic coordinator, and personal liaison—ensuring seamless time management, operational execution, and lifestyle coordination.

The ideal candidate possesses exceptional discretion, outstanding organizational instincts, and the ability to operate autonomously in a fast-paced environment.

Key Responsibilities
  • Calendar Strategy & Time Management: Serve as a strict shield for the Principal's schedule. Vet access requests, resolve scheduling conflicts, implement strategic time-blocking, and provide a daily "day-at-a-glance" briefing.
  • Meeting Preparation & Follow-Up: Research attendees, compile high-stakes dossier packages, draft agendas, attend meetings alongside the Principal, capture key notes, and track actionable deliverables.
  • Executive Briefing & Intelligence: Digest long proposals, market updates, and dense documents into 1-page executive briefs to facilitate rapid decision-making.
  • Corporate & Business Operations: Track key deliverables across internal departments (HR, legal, finance, marketing) and monitor metrics for external business ventures and investment projects. Maintain corporate records, LLC filings, and board resolutions.
  • Strategic Events & Event Logistics: Structure strategic planning retreats, board reviews, and quarterly leadership sessions.
2. Travel & Event Management
  • Comprehensive Travel Coordination: Arrange domestic and international travel, including commercial flights, ground transport, visas, and detailed itineraries.
  • Event & Hospitality Planning: Organize client entertainment, firm dinners, quarterly partner gatherings, and private family events (from venue selection to room staging).
  • Conference Representation: Represent the firm at industry conferences, coordinate on-site logistics for attending team members, meet with vendors, and summarize key sessions.
3. Personal Concierge & Lifestyle Management
  • Personal & Family Logistics: Coordinate family travel, children's activity schedules, specialized medical/wellness appointments, and personal family obligations.
  • Concierge & High-End Sourcing: Secure exclusive dining reservations, ticketed events, and private club access. Manage gift procurement, milestone databases (birthdays, anniversaries), custom commissions, and hard-to-find luxury acquisitions.
  • Financial & Administrative Support: Track and file personal expense reports, credit card statements, subscription renewals, membership dues, and resolve billing or service disputes.
  • Personal Errands: Handle day-to-day personal errands, dry cleaning, and tailored travel packing.
  • Property Management: Oversee primary and secondary residences and construction sites. Sourcing, schedule, and supervise domestic staff, contractors, and home maintenance vendors (landscapers, cleaning crews, interior designers).
  • Fleet Logistics: Maintain vehicle fleets across properties, including registrations/tags, servicing schedules, detailing, and transport coordination.
  • Household Systems & Continuity: Create and maintain standardized household protocols, vendor preference sheets, emergency contact trees, and automated recurring maintenance workflows.
Qualifications & Key Attributes
  • Experience: 3+ years of experience supporting C-suite executives, high-net-worth individuals (HNWIs), or family offices in a dual EA/PA capacity.
  • Communication & Discretion: Exceptional verbal and written communication skills with absolute professionalism, high emotional intelligence, and non-negotiable confidentiality (NDAs required).
  • Problem-Solving & Agility: Strong crisis-management abilities; acts as a calm, solutions-driven central contact during travel disruptions, household emergencies, or urgent business changes.
  • Technical Skills: Proficient in executive calendar tools, travel booking platforms, expense tracking software, and document management systems.
  • Availability: Flexible schedule with willingness to travel domestically/internationally and provide off-hours support for urgent issues.
