Job summary

BRR Architecture is seeking a Permit Coordinator to gather information from authorities having jurisdiction and submit projects for plan review and permitting. You will monitor submittals, update BRR's databases, and keep the project team informed throughout the process.

Essential duties include researching permit requirements, coordinating submissions, and maintaining documentation. This full-time, on-site role requires attention to detail, strong communication, and proficiency with MS Office.

  • Maintain client spreadsheets and BRR's databases.
  • Coordinate contract and fee proposals, track approvals, and communicate timelines.
  • Assist with general administrative duties and file management.

Job description

The Permit Coordinator gathers pertinent information from the AHJ (authority having jurisdiction) on the process and requirements of obtaining a building permit for projects in jurisdictions with basic permitting processes. Submits drawings and applications to the AHJ and monitors progress of the submittal for a timely approval all while keeping the team informed. This position works to develop relationships with local government.

Essential Functions
  • Complete research and code calls with all applicable agencies to gather information pertaining to requirements for obtaining permits: building permits, sign permit(s), planning approvals, etc. for small projects with basic permit processes.
  • Submits or arranges submission of projects to agencies for plan review/permitting once plans are complete.
  • Initiates and follows up with agencies regularly to obtain status of plan reviews.
  • Obtains requirements on pulling the required permits once required plan approvals have been received.
  • Keeps client's spreadsheet, databases, etc. and BRR's database updated as required.
  • Uploads and distributes plans as requested by the client for updating the project, bidding, and award distributions.
  • Works with project team throughout the permitting process.
  • Initiates Code Comment Response letters by modifying template to include all comments received. Provide to project team to gather responses.
  • Coordinate contracts and fee proposals with internal project team, clients and consultants. Track and communicate approvals.
  • Estimates permitting timelines through information gathered for each jurisdiction.
  • Work to get projects permitted in time to meet projected schedules.
  • Work with project team to ensure jurisdiction requirements are met.
  • Responsible for general administrative responsibilities including, but not limited to, filing, copying, and other report completion.
  • Perform other duties as required and assigned.
Education
  • A Bachelor's or Associate's degree preferred
Experience
  • Prefer 3 - 5 years experience with professional service industry/architecture/engineering firm preferred. Permitting experience is a plus.
Licenses/Certifications
  • A valid driver's license is required.

  • Must be able to work well with all levels of teammates.
  • Project a positive, can-do attitude and have effective communication skills with all team members and management as well as clients and consultants.
  • Must be able to handle multiple tasks, well organized and be effective in meeting deadlines.
  • Previous administrative and general office experience necessary.
  • Strong Microsoft Office - Word, Excel, Outlook skills, with basic office administration skills.
Working Conditions
  • Work performed primarily in an office setting.
  • Most work performed on a computer while seated.
  • Travel may be required.
  • Ability to lift up to 15 lbs.
